Position Title: Coordinator, Talent Pool Full Time, Contract Reports To: Manager, Talent Pool Location: Vancouver, Victoria, Kelowna or Prince George, BC Scope and Summary of Primary Responsibilities The Coordinator, Talent Pool serves as the central coordination and intake function for participants entering the project. This role manages participant registration, conducts intake assessments, verifies eligibility requirements, and ensures participants remain connected with their assigned WorkBC caseworkers throughout the project. As the primary point of contact for participants, the Coordinator provides consistent communication, responds to inquiries, and supports individuals in navigating project processes and expectations. The role oversees participant enrollment flow, manages waitlists, and maintains accurate documentation to ensure compliance with funding and reporting requirements. Working closely with the project team and WorkBC centres, the Coordinator supports participant tracking, referrals, and data management to strengthen coordination and support employment placement outcomes. The role also contributes to project closure activities, including documentation reconciliation and reporting preparation. Essential Functions Execute the participant intake and registration process, including conducting intake assessments to evaluate eligibility, employment readiness, and support needs. Collaborate with WorkBC Centres, verify eligibility requirements and ensure completion of required documentation, including record checks, consent forms and others. Provide initial overview and guidance on project expectations, timelines, and supports. Serve as the primary liaison between the project team and WorkBC Centres to ensure participants remain connected with their assigned caseworkers and project staff. Coordinate referrals between the project and WorkBC Centres to support service alignment and participant progression. Monitor participant engagement and coordinate follow-up when additional supports are required. Stay on top of participant enrollment flow, including intake scheduling, cohort tracking, and waitlist management. Maintain an up-to-date inventory of participant qualifications, certifications, and skills to support employer matching and placement opportunities. Communicate regularly with participants regarding project updates, expectations, and next steps. Maintain accurate participant records in the CRM database and ensure compliance with project funding and reporting requirements. Track participant engagement and intake outcomes to support project monitoring and evaluation. Assist with preparing documentation and reports as required. Provide support the Lead, Career Development with project-related matters including but not limited to documentation of individual plans, administrative tasks, and reporting preparation. Qualifications Knowledge and Skill Requirements Strong organizational and time management skills with the ability to manage multiple priorities. Excellent communication and interpersonal skills with a strong clientcentric approach. Ability to conduct structured intake assessments and maintain detailed documentation. Strong attention to detail and ability to maintain accurate participant records. Proficiency in Microsoft Office (Word, Excel, PowerPoint). Experience with CRM systems such as Salesforce is considered an asset. Ability to work independently and collaboratively in a team environment. Demonstrates empathy and sensitivity when supporting individuals of diverse backgrounds and abilities, including individuals who are blind, Deafblind, or have low vision. Strong track record of maintaining privacy and confidentiality of participants. Knowledge of employment services, workforce development, or vocational services is considered an asset. Experience and Education Minimum 12 years of experience in project coordination, intake coordination, employment services, or a related field. Postsecondary education or equivalent experience in social services, human services, community development, business administration, or a related discipline. Experience working with individuals with disabilities or in notforprofit organizations is considered an asset. Personal or professional experience relating to blindness or low vision is considered an asset. Work Environment Hybrid work environment; required to work in the office weekly.
