We work closely with general contractors and project teams to deliver reliable, high-quality results on every job.Description: This is a full-time, hybrid role for an Administrative Assistant based in Ottawa, ON.This position plays a key role in supporting daily operations, including email management, invoicing, payroll, bookkeeping, and coordination with clients, suppliers, and project teams.The role is fast-paced and requires someone who can stay organized, manage multiple priorities, and handle time-sensitive tasks.Responsibilities:Manage company emails and daily communicationsPrepare and issue invoices (progress billing)Process payroll and track employee hoursRecord payments and maintain accurate records in QuickBooks OnlineHandle supplier payments and accounts payableComplete WSIB, union remittances, and HST filingsFollow up on outstanding invoices and track receivablesProvide general administrative support to ownership and project teamsQualifications:Experience in administration, bookkeeping, or construction office rolesStrong knowledge of invoicing, payroll, and accounts payable/receivableProficiency in QuickBooks Online (preferred)Highly organized with strong attention to detailAbility to manage multiple tasks in a fast-paced environmentStrong communication skills (email and phone)Experience in the construction or trades industry is a strong asset
