Accounts Payable & Systems Administrator (NEWSTAR) Norh York, ON - onsite $75,000-$95,000 base plus bonus Role Summary We are seeking a detail-oriented professional to manage full-cycle Accounts Payable while serving as the primary NEWSTAR Enterprise System Administrator. This is a hybrid role designed for someone who loves the logic of accounting but also enjoys the technical side of managing an ERP system. You will ensure vendors are paid accurately while optimizing the NEWSTAR environment to improve financial reporting and workflow efficiency. Responsibilities: I. Accounts Payable Operations (The 'Accounting' Side) - Full-Cycle AP: Manage high-volume invoice entry, ensuring accurate GL coding and 3-way matching (Invoice/PO/Receiver). - Subcontractor Management: Handle complex construction accounting tasks, including holdbacks (retention), insurance compliance verification, and WCB/WSIB clearances. - Payment Execution: Prepare and execute weekly EFT/ACH runs and cheque payments within NEWSTAR. - Reconciliations: Perform monthly vendor statement reconciliations and assist with month-end closing activities. - Inquiry Resolution: Act as the primary point of contact for vendor billing discrepancies and internal department inquiries. II. NEWSTAR Systems Administration (The 'Admin' Side) - User Management: Set up and maintain user profiles, security roles, and permission levels within NEWSTAR. - Workflow Optimization: Monitor and troubleshoot automated AP workflows; identify areas to streamline data entry or reporting. - Data Integrity: Perform regular audits of the vendor master file and job cost codes to ensure data consistency. - Report Generation: Build and maintain custom financial reports using the NEWSTAR Report Writer and Excel integrations. - System Liaison: Act as the internal 'help desk' for other staff members and serve as the main point of contact for Constellation HomeBuilder Systems (NEWSTAR) technical support. Requirements: - Experience: 3+ years in Accounts Payable, specifically within the residential construction or land development industry. - Software Expertise: Direct experience with NEWSTAR Enterprise (Constellation HomeBuilder Systems) is highly preferred. - Technical Aptitude: Advanced proficiency in Microsoft Excel (Pivot Tables, VLOOKUPs). Comfortable learning the 'back-end' of accounting software. - Industry Knowledge: Understanding of construction-specific accounting (Job Costing, Commitments, Change Orders, and Lien Waivers). - Attention to Detail: Ability to spot a coding error or a system glitch that others might miss.
