Job Description

Reporting to the Manager of Curriculum Development, Delivery, and Convocation, the Registrarial Services Specialist is a multi-functional role that supports the administration of course scheduling, final exams and graduation, including Convocation. Responsibilities Course Scheduling Support Assist with back-up support Review classroom specifications, take photos, and ensure portal is updated Submit workorders for classroom spaces; ensure ready for start of each term Exam Scheduling Support Produces and distributes departmental exam request spreadsheets based on specifications from Scheduling & Exam Coordinator. Assesses Special Exam Applications to determine/confirm student eligibility. Communicates special exam information to students, staff, and faculty. Creates special exam sections and registers students, if necessary. Graduation and Convocation Provide support with the graduation process; assisting Registrarial Services staff where needed to ensure students graduate on time (3 times per year) Follow up with students who have not picked up their parchment; extend congratulations - Follow up with students who are not eligible to graduate Support coordination and planning associated with Convocation - the University''s largest academic ceremony: Respond to inquiries from convocation guests Provide outgoing communications to students including communication bulletins, posters, website updates, and email updates using editing software such as Canva or other design software. Provide support to the Manager with the Voices of the Class for convocation: including assisting with communications, setting up interviews, and personal support/communications to the selected students Qualifications One year of experience in a student service/advisory role with the demonstrated ability to respond to student needs Strong working knowledge of University policies and procedures, especially the Academic Calendar regulations Demonstrated knowledge of Colleague as it pertains to Registrarial Services is an asset - Working knowledge of FIPPA Excellent computer skills including proficiency with Microsoft Office including PowerPoint, Word and Excel Ability to work accurately and independently under pressure in a fast paced environment Excellent listening and communication skills, both written and verbal, as well as well- developed presentation skills Time management skills with the ability to multitask and be highly organized - Ability to work with diverse populations with tact and cultural sensitivity Ability to work effectively as part of a team and maintain good working relationships with other employees across the university Lakehead University is committed to creating a diverse and inclusive environment and welcomes applications from all qualified individuals including women, racialized persons, Indigenous people, persons with disabilities, and other equity-seeking groups.
