Job Description

Reporting to the Inspection Division Manager, the Administrative Assistant provides essential administrative, project, and HR support to the local team, contributing to efficient operations in a fastpaced, collaborative environment.Responsibilities include, but are not limited to:Answer and direct incoming calls and visitorsProvide general administrative and office support, including event coordination, document management, and office supply procurementCoordinate couriers, code invoices, manage receipts, and support vehicle and accommodation administrationSupport project operations by managing purchase orders, billing documentation, job files, packing slips, and tool trackingAssist with warehouse support tasks, safety reminders, and coordination of training and inspectionsProvide local HR administrative support including onboarding, payroll-related support, uniforms, training coordination, and employee inquiriesSuccess Factors5 years of experience in an administrative or office support role within the fire protection industry or a similar contract-based industryProficient in Microsoft Office (including Excel) with experience using an ERP and/or CRM system (preferred)Strong organizational and multitasking abilities, with excellent attention to detailClear and professional communication skills, combined with a serviceoriented approachAbility to thrive in a fastpaced, collaborative team environmentWhy Join VikingViking values, respects, and supports the interests of its employees from all walks of life.
