Job Description

The Accounting & Administration Manager will oversee the efficient administrative operations of the office manage the billing and maintenance administration team while also performing other key duties as assigned. This role requires a strong blend of leadership, organizational skills, and the ability to maintain a high level of customer service in a client-facing role. This role will be responsible for maintaining and documenting all contract information, provide regular data reporting, overseeing the accounting and administrative requirements and assisting in overall financial reporting.Key ResponsibilitiesLead, mentor, and coordinate the activities of the contracts administrative and billing staff, ensuring efficient workflow and adherence to deadlinesFoster a collaborative and supportive team environment, setting performance expectations and conducting regular performance reviews for all direct reportsOversee contract full-cycle accounting, including monthly, quarterly, and annual accrual processesOversee document control processes and maintain contract accounting records in accordance with the clients requirementsOversee the completion of accounts receivable, accounts payable, and payroll functions, ensuring accuracy and compliance.Assist in development of facility maintenance budgets, forecasts, and variance analysisDrive continuous improvement of accounting processes, controls and reportingOversee work order management responsibilities of the teamWork with procurement and other departments on implementing and streamlining workflow processes Create and update training materials, ensuring consistency in process execution and quality of serviceLead ongoing training initiatives to improve team efficiency and service qualityOffer back-up support to the Administrators, ensuring administrative duties are handled efficiently when neededOther duties as assignedCompetency Requirements Proven leadership and mentoring skillsExperienced in change managementStrong communication skills with a customer-centric focusSelf-driven and solution orientedKeen interest in process improvements and initiativesTeamwork and CollaborationValues and Respects OthersEducation and Skill Requirements Minimum of 2 years of experience in a supervisory role; experience in training and overseeing administrative staff Minimum of 5 years of experience in accounting or related field Recognized degree or technical diploma in accounting, CPA certification preferred Previous experience in auditing and financial reporting Excellent leadership and interpersonal skills Strong organizational and time management abilities Proficiency in JD Edwards and Microsoft Office Suite or similar large SAP software Ability to analyze financial data and generate reportsCompensation: $85-100K, 3 weeks vacation, extended healthcare benefits
