Payroll Administrator - US Lush Cosmetics North America supports over 250 retail stores across Canada and the United States, with manufacturing centers in Vancouver and Toronto. The Payroll Administrator - US plays an essential role in growing talent in our business through collaboration and sharing best practices with the Payroll team. As the Payroll Administrator - US, you will be responsible for all activities regarding US payroll processing and administration, including entering payroll information, conducting precise calculations, and safeguarding the confidentiality of employee records. This role specifically supports our weekly payroll administration process in New York and offers opportunities to transition into supporting different payroll frequencies and projects during your tenure at Lush. Responsibilities Maintain payroll information by collecting, calculating, and entering data into payroll system (ADP WFN) and retrieving data when necessary; Process new hires, onboarding of new employees, and terminations; review accuracy and completeness of information received and investigate/follow up on any anomalies and discrepancies; Assist in ensuring accurate tracking of vacation and sick balances; Respond to inquiries and requests in the payroll ticketing system; Assist with monthly, quarterly, and yearend calculations and reports; Resolve payroll discrepancies by collecting and analyzing information and interacting with various departments, managers, and employees; Maintain payroll operations by following policies and procedures and reporting needed changes; Maintain employee confidence and protect payroll operations by keeping information confidential; Communicate with leaders, employees, colleagues, and service providers in a professional manner; Process adhoc requests as assigned and support senior team members; Respond and fulfill requests for employment verifications, IRS requests, WCB and wage garnishment requests; Maintain detailed records and documentation of payroll functions for audit purposes, in accordance with statutory requirements; Maintain a wide variety of payroll information, files and records in written and electronic formats for the purpose of providing an uptodate reference and audit trail for compliance; Research discrepancies of payroll information and/or documentation (e.g., timesheets, leave forms) to ensure accuracy and adherence to procedures prior to processing. Qualifications Required: 35 years of recent payroll US experience or an equivalent combination of education and related experience; PCP designation or actively working toward designation; Experience and good working knowledge of payroll systems (ADP WFN preferred), internal controls and management; Experience processing hourly timesheets, salaries, bonuses and other compensation forms; Ability to prepare adhoc reports using MS Excel (intermediate level preferred); Intermediate proficiency in MS Excel and MS Word; Must handle confidential information ethically and professionally; Sound analytical thinking, planning, prioritization and execution skills; Effective attention to detail and a high degree of accuracy; Ability to respond appropriately in pressure situations with a calm and steady demeanor; Strong verbal and written communication skills; Strong customer service focus, work ethic, and positive team attitude; Knowledge of legal and regulatory compliance and procedures, including labour laws and employment standards in all jurisdictions in which Lush operates. Preferred: Postsecondary education in Accounting, Business, or Finance, or a combination of education and work experience. Job Type Job Type: Permanent, Full Time. Hybrid.
