Position: Office Administrator Reports to: Assistant Operations Manager Start Date: June 1 -2026 Work Location: Ancaster, Ontario Job Type: Full Time / Exempt Medical Benefits: Yes Compensation: Hourly wage ($27.50 - $33.65) Experience: A minimum of 3-5 years of office administration experience. Secondary School Diploma or equivalent. College or university business administration courses or equivalent. Travel: Minimal Other: Must be eligible to work in Canada and travel internationally for training purposes. Company Profile & Position Summary Westover Express, WEX recently acquired the former Enbridge Line 10 pipeline, which Enbridge will continue to operate and maintain until June 2023. The pipeline carries oil from Enbridge Pipelines terminal in Westover, Ontario to United Refining Companys 78-mile-long Kiantone Pipeline in West Seneca, New York to supply Uniteds approximately 70,000 barrel-per-day (bpd) refinery in Warren, Pennsylvania. Westover Express is looking for an Office Administrator to help with day-to-day operations, perform clerical tasks and manage our corporate office in Ancaster Ontario. POSITION SUMMARY Reporting to the Pipeline Maintenance Manager The Office Administrator is responsible for supporting the WEX Team with various administrative tasks. The successful candidate will be highly organized, efficient and work well in a fast-paced environment. The candidate should be able to manage their own time by prioritizing to ensure work effort is aligned with company priorities. Perform all data entry tasks related to labour, equipment, materials, safety, projects, purchasing, billing. The candidate will demonstrate problem solving skills and exercise professional judgement. This position is performed in accordance with the WEX Operational Management System, Safety, Environment, and Regulatory requirements. KEY RESPONSIBILITIES - Acts as the first point of contact for incoming calls or visitors to the office. Participate in emergency response exercises and field training, supporting operations under the Incident Command System (ICS) - Participate in internal audit and system reviews - Assist with integrated management systems key performance indicator tracking and compliance - Assist with Authorization for Expenditure (AFEs) approvals, track circulation. Circulate Vendor of Record forms to compile all information. - Answers general inquiries or re-directs them as appropriate. - Sorts incoming mail for distribution and dispatches outgoing mail. - Prepare and maintain monthly reports related to Pipeline and operations. Process, coding and monitoring all invoices, expense reports, credit cards and billing. Tracking and monitoring all purchase requisitions and purchase order numbers. Assist with tracking and submission of budget preparations. - Processes driver abstract applications. - Records meeting minutes, for various committees - File employee training records and safety inspections. - Maintains a filing system including safety, operations, finance, vehicle & equipment records. - Inventory order, and controls office supplies - Assist with booking travel and accommodations for employees and processing related expenses. - Prepare, and handle all administrative tasks including; but not limited to, data entry, filing, photocopying, faxing, preparing expense statement and archiving of files. Demonstrates visible safety leadership in the office. - Maintain a high level of confidentiality. - Other tasks and duties as assigned. EDUCATION AND EXPERIENCE - High school diploma - Preference will be given to individuals who also hold a college or university business administration diploma. - Accounting experience considered an asset. - Previous administrative experience in construction or maintenance considered an asset. Valid and unrestricted Ontario drivers license - Possesses high attention to detail, including accuracy and completeness. Proficient in all Microsoft Office applications (Excel, Word, PowerPoint, Outlook, MS Teams, etc.) - Demonstrates safety leadership. - Strong organizational skills - Position may require employee to frequently work at a computer station, stand, walk, twist, bend, reach and kneel. TRANSFERABLE SKILLS - Safety first mentality and demonstrates safety leadership. - Must be competent and accountable. - Must be able to work alone without direct supervision when required. Must have the ability to work under pressure, managing multiple tasks at any given time. Possesses high attention to detail, including accuracy and completeness. Effective organizational skills - Follows procedure without deviation, asks questions and collaborates when required. Adaptability to changing demands. - Must be punctual. - Loyal and committed.
