Reporting to the Sr. IDD Manager, the Document Controller will be responsible for setting up and maintaining the necessary documentation, ensuring compliance with any filing requirements and checking the quality of drawings. What Youll Do Here Assist with functioning and utilization of the SharePoint and Aconex system for proposals and projects. Liaise with IT to set up SharePoint sites and troubleshoot when required. Liaise with the Aconex Helpdesk to troubleshoot SharePoint and Aconex issues. Maintain library distributions for SharePoint and distribution groups for Aconex. Maintain a participant matrix and update a project distribution matrix for use in documentation communication via transmittal, memo, or email in DMS systems. Provide team members with guidance when required. Identify opportunities for continuous process improvement and monitor new and emerging software solutions. Assist in maintaining the reporting system and in proposal and project archiving. Ensure a high level of accuracy in capturing metadata in the DMS system in accordance with procedures and requirements for metadata for reporting/auditing. Manage and coordinate the metadata and the process of storage for documents into the DMS system by all internal and external parties. Provide support to all project participants regarding document control practices, including vendors, contractors, consultants, thirdparty, and client users. Identify and escalate processing issues or other system issues to the project Document Control Manager in a timely manner. Notify Document Control Management immediately if processing targets cannot be met (24hour turnaround). Maintain confidentiality of all project documentation. Ensure the 24hour turnaround from receipt of requests into document control to completion of processing and distribution is achieved. Upload documents to the DMS system. Take minutes of meetings (scribe and prepare). Participate in other project document control initiatives or data management tasks under the direction of the Project Document Control Manager or (Bids) Document Control Manager. Allocate project document/drawing numbers as required per guidance of the Document Control Manager and procedures. Using Aconex, assist in creation, communication, implementation, and maintenance of a reporting system to track all RFIs from receipt by Aecon through to the return of responses to the originating party, and report on all overdue responses. Oversee the receipt, capture, control, and access of all bid documents. Other duties as assigned. What You Bring To The Team Postsecondary education Bachelors Degree or College Diploma preferred, or equivalent experience. A minimum of 5 years document control experience in a construction project/site environment. Proficiency in electronic file management (e.g., Explorer and WinZip). Intermediate to advanced knowledge of Portable Document Format software such as Adobe Acrobat and Bluebeam. Ability to accurately and efficiently set up, create, and maintain documentation metadata. Ability to interpret and implement process, procedures, workflows, and standards. Ability to document work tasks (work instructions). Experience working in a site/project team environment with the proven ability to build relationships with immediate and remote team members, clients, etc. Excellent written and verbal communication skills. Exceptional organizational skills, with a proven ability to meet deadlines in a fastpaced environment. Familiarity with EDMS systems such as Aconex and/or Unifier.
