About the RoleThis role reports to the Manager, Leasing Administration and is ideal for someone who enjoys working in a fast-paced, collaborative environment where no two days are the same. The Leasing Administrator plays an important role in supporting occupancy goals and ensuring departmental deadlines and objectives are achieved in a professional and efficient manner.The Leasing Administrator plays a key role in supporting occupancy across our portfolio of 40+ rental apartment communities. Working closely with internal operations teams and on-site staff, this position helps ensure a smooth and responsive leasing experience while supporting departmental goals and timelines in a collaborative and professional environment.This is a full-time role based on-site at our Burlington office.Key ResponsibilitiesComplete all administrative functions as specified by the daily, weekly, and monthly workflow, with respect to the leasing cycleIdentify and recommend process improvements in the administration of our leasing processBe the primary contact for the leasing cycleManage the approval of applications and lease documentsEnsure all administrative aspects of tenancy leases are maintainedManage lease agreements correctly and on a timely basisCoordinate and assist with high-impact leasing events, such as open houses or resident eventsUnderstand and support legislative process with the Landlord Tenant Board as they relate to the leasing cycleSupport internal teams to be aware of vacancies, skips, evictions, transfers, etc.Ensure accuracy of Excel reports, as they relate to the approved applicationsWork closely with all internal departments to ensure accounting related processes and deadlines are met, such as:Last month depositsIncentive creditingMaintain applicant documentation with accuracy and on a timely basis in Yardi and other accounting platformsProvide support, and deliver training as required (virtual & in person), to ensure compliance with set procedures to new Resident ManagersManage Yardi database, and reporting, in relation to the leasing process within DashQWork with respective teams to update market rents accurately and on a timely basis.Act as the contact for the marketing team regarding leasing promotions and complete the cycle by sending new residents their gift cards on a timely basis and related reports to the accounting teamAssist the operations team with onboarding new propertiesWhat You Bring: 2-3 years experience using Yardi as a Leasing Administrator within residential property management.2+ years of experience with Yardi Voyager and DashQ knowledge is an assetCompletion of Post secondary education with an accredited institutionFunctional knowledge and understanding of the Landlord Tenant Board Legislation in Ontario, Alberta & British ColumbiaProficiency in all MS Office programs particularly MS ExcelStrong written and verbal communication skillsBilingualism is an asset (French/English)Predictive Index AssessmentsAs part of our hiring process, candidates complete two short assessments from Predictive Index:A Behavioural Assessment (510 minutes, untimed) to understand your work and communication style.A Cognitive Assessment (12-minute timed) to measure learning and problem-solving abilities.These are not tests of intelligence or experience, they simply help us understand how you work best.Start the Behavioural Assessment here: https://assessment.predictiveindex.com/3S57/0e9cdf20-5c7e-448b-a058-f15cbfb21693?type=candidateba#page0After completing the first assessment, youll receive an email with instructions for the second assessment.About UsWere a privately-owned, full-service property management company offering quality, well-maintained apartments across Ontario and Alberta.
