Who You Are You are an experienced office and administrative professional who brings structure, judgment, and ownership to daytoday operations, with several years of experience supporting senior leaders or managing office operations. You are comfortable making decisions within defined boundaries, acting as a reliable point of accountability for office and administrative matters, and exercising judgment without detailed direction. You anticipate issues before they escalates and enjoy creating order in a growing organization. Responsibilities Own daytoday office operations across the organization, with primary responsibility for the Calgary office. Provide senior administrative and operational support to the CEO. Oversee executive and leadership calendars, meeting coordination, and preparation of materials. Coordinate executive, management, and boardrelated meetings, including agendas, logistics, materials, and followups. Serve as the primary escalation and decision point for daytoday office, administrative and executivesupport matters, escalating only exceptions. Establish, maintain, and improve office and executive support processes and routines. Coordinate office vendors, services, and facilitiesrelated needs. Support internal communications related to office operations and organizational updates. Assist with crossoffice coordination between our Calgary and Kelowna offices. Identify inefficiencies and implement practical improvements that reduce leadership involvement in routine administrative and operational matters. Support onboarding and offboarding processes from an operational and executivesupport perspective. Act as the first point of contact for routine people, culture, and officerelated issues, escalating formal HR matters as needed. Support a consistent onboarding and employee experience across the organization in partnership with HR. Reinforce company norms, expectations, and office culture through daytoday interactions and operational practices. Skills Requested Strong operational judgment and decisionmaking ability. Excellent organizational, communication and prioritization skills. Proven ability to manage responsibilities with minimal supervision. Comfort working directly with senior leadership. High level of professionalism, discretion and reliability. Skills That Would Be Considered Assets Experience supporting CEOs or executive teams. Experience running an office of 40 or more people. Experience in financial services or a regulated environment. Exposure to process improvement, automation or operational scaling. Interest in applying AI or automation tools to improve office and administrative workflows. Experience supporting hybrid or multioffice environments.
