Job Title: Mailroom Administrator (1-year contract) Reporting To: Manager - Facilities Department: Facilities Location: Markham File Number: 3439 Rate of Pay: As per collective agreement Hours of Work: 35 hours per week - Monday to Friday 8:00 a.m. 4:00 p.m. Summary The primary responsibility is for the mail room, including delivery of mail, selection of appropriate postage/rates for Canada Post and courier services, preparing and distributing interoffice mail, and invoicing back to departments. The secondary role is as general administrative support to the Facilities department (see Accountabilities). Responsibilities Act as a courteous and friendly central point of contact for both internal and external customers. Open and sort all mail (Business Reply, generic or addressed mail) Direct and deliver mail to mail pickup area Travel in own vehicle to deliver mail to Postal Station Coordinate all mailing requirements to each office/warehouse locations Manage relationship with mail and courier vendors Prepare daily inter-office mail for pick-up. Checks, initials, and codes all Mailroom/Facilities related invoices Distribute paper supplies for printers and photocopiers to all print stations and mail centres Achieve defined productivity and performance measures on a consistent basis Provide general administrative support to Facilities staff Manage placing the fire alarm on and off by-pass Receive contractors, guide them to work area, relay direction and QA final work. Maintain Birchmount site presence and be on-call for responses to unplanned events or vendor site requirements. Manage the training room divider wall (opening and closing as per requests) Act as a contact person for contractors, vendors, and the day porters Assist with the start-up/shutdown of the mechanical cooling system Receive shipments for the warehouse if the clerks are out on deliveries Undertake special projects and assignments as assigned Ability to provide reporting and data analysis as requested by management Maintain confidentiality in all matters pertaining to the department operations Other duties as assigned by management Qualifications Ability to operate high volume mailroom equipment, photocopiers and printers Ability to work independently with minimal supervision Computer literate in Microsoft applications (Outlook, Word, Excel) Skilled in office equipment operation (Photocopiers, scanners, VOIP Phones, Printers) Ability to handle multiple tasks and priorities Previous experience in an administrative role Ability to lift/pull heavy weight (mailbags, storage boxes of 40+ lbs) Must have own vehicle and valid drivers license for mail pick-up/deliver Grade 12 completed Post Secondary education is an asset, FMP designation preferred Experience working with security and life safety systems an asset High Heights Training is mandatory This position applies to UNIFOR Local 975.
