What we're looking forAs a Community Associate you will be the first point of contact for our clients and visitors. Your role is crucial in creating a positive and professional impression of our company and ensuring the smooth operation of the front desk area.You will play a vital role in providing exceptional customer service and administrative support to both our clients and internal team, which will span - welcoming guest, check-ins and registrations, handling booking & visitor management software to monitor guest entires and keep a sharp eye out on security. And help in organising events to build & enhance the sense of a strong community.What you’ll be doingWelcome and Greet: Provide a warm and professional welcome to clients, visitors, and members as they enter the co-working space. Ensure a positive and friendly first impression.Check-In and Registration: Register new clients and visitors, assist with the onboarding process, and issue access cards or keys as neededCustomer Service: Address inquiries, provide information about our services, and assist clients and members with their needs, such as booking meeting rooms or resolving any issues.Events and Networking: Plan and coordinate networking events, workshops, seminars, and social gatherings to enhance the community experience.Mail and Package Handling: Sort and distribute mail and packages to clients and members. Keep track of incoming and outgoing deliveries.Booking Management: Assist clients in booking meeting rooms, workspaces, and other facilities. Ensure that reservations are accurately recorded and prepared.Visitor Management: Maintain a log of visitors, issue visitor badges, and ensure security protocols are followed.Administrative Support: Assist with administrative tasks such as photocopying, filing, data entry, and maintaining office supplies.Security and Safety: Monitor the reception area for security purposes and report any suspicious activity. Be aware of any unwanted walk-ins or free loaders and report them to security immediately.Maintain Cleanliness: Ensure that the front desk area is neat and tidy, and the common areas are well-maintained and presentable.Client Relations: Build strong relationships with clients, understand their needs, and act as a liaison between clients and the management team.Calendar Management: Assist in managing meeting room calendars, ensuring bookings are accurate and conflicts are resolved promptly.Back up for operations teams: working with operations to ensure that all facilities are safe, clean, and well-maintained and all appointed vendors are performing their duties as per schedules and requirements.What you need to bring to the tableQualifications:High school diploma or equivalent; additional education or certifications or experience in Customer service or hospitality is a plus.Previous experience in a customer service, receptionist, or front desk role is preferredExcellent communication and interpersonal skills - to 100% proficient in English, proficiency in local languages - Kannada, Tulu are a big plusStrong organisational and multitasking abilities. Proficiency in using office equipment and basic computer software (e.g., Microsoft Office Suite - handling of booking/vendor management suite is a big plus).Friendly, professional, and a strong commitment to providing exceptional customer service.Knowledge of the co-working industry and an understanding of the needs & functioning of start-ups and businesses are a big plus.Key Personality Traits:Strong communication skills: Courteous, well-mannered and polished with effective communication is vital in interacting to clients and visitors. English should be fluent. Local languages - Kannada, Tulu and Hindi are equally important and big plus.Customer focus & client servicing skills: Constant communication with members to ensure that their needs are satisfied. Organising & taking new clients on facilities tours and explaining the essence of our workspaces and productivity enhancementsProactive & multitasking abilities: In fast-paced operational settings, quick decision-making is often required.
