In this role, you’ll support the Service Coordinators and Service Manager with technician scheduling, customer communication, admin tasks, and ensuring jobs are delivered safely and on-time. If you're organized, great with people, and thrive in a fast-paced environment — we’d love to hear from you!Key ResponsibilitiesService Scheduling & CoordinationAssist with scheduling technicians up to 12 months in advanceMatch technician skills and licenses with job needsTrack leave and RDOs to keep the team balancedBuild flexibility into schedules for urgent workCustomer Support & CommunicationConfirm job details and timing with customersProvide updates on job progress and outcomesAddress customer concerns or escalate as neededFollow up on technician referrals, proposals, and quotesSafety, Compliance & DocumentationPrepare safety documents for all site visitsRecord and follow up on Toolbox Meeting actionsEnsure all work complies with OH&S standardsService Admin & ReportingEnter job details and updates in our CRM (MS Dynamics FSM)Coordinate accurate timesheets and payroll recordsTrack KPIs such as job progress, productivity, and customer feedbackSupport invoicing with timely and accurate data handoverInventory & MaterialsHelp allocate materials for upcoming jobsMaintain stock records and assist with orderingContracts & Special ServicesManage scheduling under TaaS agreementsSupport urgent or non-contracted service requestsTeam & Training SupportAssist with onboarding new staffHelp coordinate training and upskilling sessionsWhat We’re Looking ForWilling to work Australian shift hoursExperience in service admin, scheduling, or coordinationStrong organizational skills and attention to detailClear, professional communicationAbility to multitask and manage prioritiesExperience with MS Dynamics or similar CRM/FSM tools (a plus)Team player with a positive, proactive attitude
