They are supported by a multidisciplinary, passionate, and competent team committed to translating their dreams into realities.ABOUT THE ROLEThe Director of Finance & Systems will play a pivotal role in ensuring robust financial systems and controls, adherence to compliances, and maximizing organizational resources. S/he will be assisting the Senior Director – Finance & Systems in developing the strategic financial direction to complement the overall strategy of the organization. This incumbent will report to the Senior Director – Finance & Systems and will work with him/her to create and present reporting to senior leadership, donors and other stakeholders.ROLES & RESPONSIBILITIES  A) Governance Ø Ensure that all financial and accounting systems, practices and controls meet regulatory and policy-mandated standards; Ø Work closely with the Senior Director – Finance & Systems on pertinent financial issues and regulatory matters, and provide financial input for organization review and evaluation; Ø Prepare financial reports for the Senior Management and/or Board giving factual oversight of the financial health of the organization to enable board-level decision-making Ø Assist the Senior Director – Finance & Systems in preparing reports for the Finance and Audit Committee and seek support in developing appropriate policies to meet high conformance and performance in financial planning and management; Ø Assist the Senior Director – Finance & Systems in conducting the agreed Board Meetings, ensure the proceedings of such meetings are duly minuted and also ensure that appropriate actions are taken basis the Board advisory; Ø Ensure necessary compliance with respect to these meetings;B) Planning and Management Ø Lead in financial planning, monitoring and evaluation processes to ensure all finances and budgets are established to enhance cost-effectiveness Ø Work with the Senior Director – Finance & Systems to develop annual financial goals for the organization Ø Oversee the preparation of annual operating budgets, regular financial monitoring, gap planning, forecasting and reporting Ø Responsible for preparing and consolidating India annual budgets and assist the Senior Director – Finance & Systems for consolidation Ø Provide support to Head Office and all field offices during Annual Planning and Budget preparation and forecasts, and develop analytics for effective review of budgetsC) Treasury Management Ø Oversee and administer the banking relationships of the organization in India and ensure that the transactions are handled in the most cost-effective manner possible Ø Ensure appropriate controls over cash transactions exists Ø Ensure that adequate liquidity is maintained at all offices of the organization in India. Ø Ensure that the NGO gets the best deal from its Bankers for all foreign inward remittances. Ø Together with the Senior Director – Finance & Systems plan proper investments of idle funds Ø Track and keep oversight of organizations banking operations, bank reconciliation, and other banking functions, paying special attention to FCRA banking functions; Ø Ensure all banking operations are aligned to approved authorization and approval matrices and regulatory requirementsD) Financial Controls, accounts, compliance and audit Ø Oversee and update finance policies and procedures Ø Communicate effectively with teams across the organization to ensure process are rolled out effectively initially and continue to function effectively Ø Ensure appropriate documentation of processes Ø Identify, manage and monitor enterprise risks that are related to finance Ø Coordinate with legal on compliance and governance matters ØProvide ad-hoc analysis, reporting and presentations to support leadership on finance strategy and execution Ø Lead in the preparation of finance function related Standard Operating Procedures (SOP) for the NGO’s India Office Ø Oversee preparation of books of account and timely finalization of financial statements Ø Facilitate internal and statutory audit of donor projects and organizational finances; act upon audit observations in a timely manner to ensure adherence Ø Ensure all financial, tax, audit, FCRA and related filings are done correctly and timely as per government norms. Ø Prepare India financials for audit and send to Senior Director – Finance & Systems for review and final submission to Auditors.E) Systems and controls Ø Ensure robust systems are in place for organizational fiscal procedures, controls and compliances Ø Assist Senior Director – Finance & Systems in the selection of the ERP and related cloud-based software to ensure systems and compliances; Ø Ensure that the ERP is designed/customized well to deliver on organizational needs and requirements; Ø Oversee smooth ERP integration to ensure adherence and efficiency across the organization Ø Enable updation of ERP and other software required to make systems efficient and transparent Ø Lead on financial process automation interventions for the organizationF) Grant Management and donor servicing Ø Assist Senior Director – Finance & Systems during grant negotiations with potential donors; Ø Review all donor agreements from a compliance perspective and negotiate with the donors, if needed; Ø Provide necessary support in reviewing budgets at proposal development stage and during the implementation Ø Ensure systems and controls are in place for sub granting funds to partner organizations; due diligence conditions are met; partners aligned to statutory norms, donor regulations and organizational policies Ø Ensure timely information to help utilization of funds as committed to the funders Ø Oversee preparation of regular grant financial reports for internal consumption and respective donors Ø Oversee the financial aspects of sub awards including; the selection process, the completion of sub award agreements, the training and mentoring of sub awardees on financial requirements and reporting (including budgets, payments, and compliance) and approve their financial reports Ø Prepare Standard Operating Procedures (SOP), review reports and agreements and oversee spending trendsG) Procurement, supply and general administration Ø Oversee procurement and supply systems across the organization Ø Ensure proper policy related to procurement exist and all employees are informed about the same Ø Support the team on RFP and RFQ processes to get the value for money for the organization Ø Support the team during the negotiation process Ø Guide the team in the implementation of appropriate management processes Ø Ensure due diligence, controls and adherence to policies Ø Facilitate the role of the procurement committeeH) Team Management Ø Supervise Finance, IT and Procurement teams and relevant finance consultants to ensure an efficient financial management structure Ø Build teams’ capacity to take on additional responsibilities Ø Inform and build an understanding of non-finance teams to value the organization’s financial standards and systemsI) Organizational representation Ø Familiarize with long-term economic and legal trends and their impact on the organization/sector to recommend safeguards; Ø Make suggestions for progressive policies Ø Represent the INGO with relevant stakeholders viz. IT, FCRA, MHA and related govt authorities, legal and financial agencies, donors and CSO networks, technical advisors and others;Note: The roles and responsibilities outlined above are not meant to be an exhaustive list of tasks. The need for flexibility is required and the job holder is expected to carry out any other related duties that are within the employee's skills and abilities whenever reasonably instructed.Must Haves: Ø The ideal candidate must hold an MBA (Finance) / or any relevant qualifications at Masters Level with an experience of about 12-15 years. Professional accounting qualification – CPA/CA/ICWA or equivalent desirable Ø Experience of working in the finance function of an INGO, a multi-cultural environment covering areas like financial planning, financial reporting, internal controls, donor servicing, grants management etc Ø Broad knowledge and understanding of budgeting and financial management principles and practices in INGOs Ø Experience of working on ERP packages Ø Excellent communication skills, including demonstrated ability to communicate financial information clearly Ø Highly organized and able to work independently Ø Thrives in fast fast-paced environment and is excited by opportunities to explore and implement new ideas which help in further expansion of the organization
