Objectives of this Role Support the President primarily and provide additional support to the executive team to ensure that company goals and objectives are accomplished and that operations run efficiently. Act as a liaison between different business functions, including Business Development, Merchandising, Fabric Sourcing, MIS, Purchase (Trims), and Design, ensuring seamless communication and status tracking. Organize and track order statuses, fabric sourcing progress, costing readiness from the MIS team, pending purchase orders for trims, and updates from merchandising and design teams. Prepare and present consolidated reports for top management meetings, ensuring all critical updates are showcased effectively. Plan and orchestrate work to ensure that top management's priorities are met, organizational goals are achieved, and best practices are upheld.Responsibilities Executive Support Manage professional and personal scheduling for the President, including agendas, email, phone calls, client management, and other company logistics. Coordinate complex scheduling and calendar management, ensuring efficient information flow to senior executives. Manage travel logistics and activities, including accommodations, transportation, and meals. Maintain professionalism and strict confidentiality with all company-related materials. Business Operations & Coordination Track and compile order statuses, fabric sourcing progress, costing readiness, and pending orders from the purchase team. Liaise with the merchandising and design teams for regular updates and ensure they are documented for top management discussions. Organize and facilitate interdepartmental coordination for seamless project execution. Ensure that all business-critical updates are collated and presented clearly during management discussions and meetings. Administrative & Data Management Provide administrative and office support, including document preparation, spreadsheet maintenance, and organization of company databases. Organize team communications and ensure documentation is well-maintained. Prepare reports, presentations, and dashboards to showcase critical updates and business insights.Required Skills and Qualifications Four or more years of experience in an administrative role reporting directly to senior management. Strong business acumen with the ability to track and analyse business operations across departments. Excellent written and verbal communication skills. Strong time-management skills and the ability to coordinate multiple concurrent projects. Proficiency with office productivity tools and an aptitude for learning new software and systems. Strong Excel skills, including proficiency in: Data sorting and filtering for order tracking. Pivot tables and VLOOKUP for analysing business data. Conditional formatting for highlighting important updates. Basic macros for automating repetitive tasks. Charts and graphs for visual presentation of reports. Ability to maintain confidentiality of sensitive business information. Flexible team player, willing to adapt to changes and unafraid of challenges.Preferred Skills and Qualifications Experience in business development, project management, or operations. Proficiency in Microsoft Excel for tracking and analysing business data. Ability to develop internal processes and ensure smooth cross-functional coordination.
