As the first point of contact for clients, visitors, and employees, you will be responsible for managing front desk operations, providing exceptional customer service, and supporting various administrative tasks, including document management and HR assistance. The ideal candidate will possess excellent communication skills, proficiency in Microsoft Office (Excel, Word & Power point), and a high level of professionalism.Salary scale: Rs. 23,000 to Rs. 30,000 Responsibilities: Reception & Customer Service: Greet and welcome clients, visitors, and vendors in a friendly and professional manner.Answer and direct incoming phone calls to the appropriate team members or departments.Maintain a clean and organized front office, creating a welcoming atmosphere for clients and staff.Handle inquiries regarding the firm’s services and direct clients to appropriate personnel.Administrative Support:Manage office calendars, assist with scheduling meetings, and coordinate appointments for architects and staff.Prepare and edit documents, reports, presentations, and correspondence using Microsoft Word and Excel.Maintain organized filing systems for client projects, contracts, and other important documents.Ensure that office supplies are stocked and handle inventory management.HR Support:Assist with HR-related tasks, including maintaining employee records and updating internal databases.Support onboarding of new hires by preparing documentation and conducting office tours.Assist with timekeeping, managing employee attendance, and processing payroll information as required.Office Coordination:Receive and distribute incoming mail, packages, and deliveries.Ensure office equipment (printers, copiers, etc.) is functioning properly and schedule repairs when necessary.Support the architectural team by organizing files and ensuring timely delivery of project-related paperwork.Client and Project Management Support:Assist project managers with tracking project deadlines, timelines, and deliverables.Manage and update project tracking documents and spreadsheets using Excel.Coordinate communication between clients, contractors, and internal teams as needed.
