You'll be the system-keeper: guarding data quality, preparing first-cut cost sheets, keeping rate cards fresh, and chasing paperwork before it becomes a blocker.Your Impact & ResponsibilitiesData & System ManagementBuild & maintain the single source of truth in Airtable (inventory, communications, PNRs)Ensure data integrity across our operational systems with a minimum 95% "green-light" scoreProduce "D-5 Readiness Reports" for each edition: identifying open tasks, missing data, and potential blockersSpin up no-code automations (Zapier, Make, Airtable Automations) that eliminate double entry and repetitive tasksFinancial & Vendor CoordinationDraft accurate cost estimates from live rate cards with a target variance of ±3%Flag margin risks proactively to the Production ManagerGather hotel, restaurant, and activity rates with documentationProcess and upload vendor MoUs with appropriate tags and expiry datesAchieve vendor rate update turnaround in less than 48 hoursPost-Trip ProcessingArchive final costs, vendor invoices, and NPS notes for finance and quality assuranceAnalyze trip data to identify operational improvement opportunitiesDocument process improvements and best practicesSupport continuous refinement of our operational systemsAbout YouExperience That Delivers Results:1-3 years in travel, events, logistics, or operational analyst rolesProven ability to manage complex data systems and maintain data integrityExperience coordinating with vendors and tracking deliverablesTrack record of improving operational efficiency through systems and processesBackground in financial tracking or cost managementTechnical Skills:Power user of spreadsheets (pivot tables, VLOOKUP) and Airtable/Notion/MondayExperience creating documentation and operational checklistsAbility to build basic automations that eliminate repetitive tasksComfort with project management tools like AsanaClear, concise written communication skillsPersonal Qualities:Obsessive eye for detail and commitment to data accuracyLove for checklists and systematic approaches to problem-solvingAbility to chase suppliers across time zones politely but firmlyOrganized with strong time management abilitiesProactive in identifying and resolving potential issuesCulture FitmentYou're someone who finds satisfaction in creating order from chaosYou're detail-oriented but can still see the bigger pictureYou're resourceful and find creative solutions to operational challengesYou're comfortable in a fast-paced, remote-first environmentYou speak both "spreadsheet" and "people" fluentlyYou take pride in building systems that enable others to succeedGrowth PathThis role reports to our Production Director and works closely with our Destination Experts.
