Job Description for Assistant Manager – Travel: We are seeking an experienced and proactive Assistant Manager – Travel to lead and support our travel and visa operations. The ideal candidate will have 3–4 years of relevant experience, including team leadership responsibilities, and in-depth knowledge of visa procedures and travel consulting. This role involves supervising a team, managing client interactions, and ensuring seamless travel and visa services for our clients. Key Responsibilities: Team Management & Leadership: Supervise, mentor, and guide a team of travel and visa executives to ensure efficient operations and excellent client service. Client Relationship Management: Understand client travel and visa requirements, provide expert guidance, and maintain strong, professional relationships. Visa Processing Oversight: Review and manage the visa application process including documentation, appointment scheduling, and system entry for various countries. Travel Consultation: Provide travel solutions including itinerary planning, reservations, and e-travel bookings in coordination with travel systems. Training and Development: Train junior staff on visa procedures, travel systems, customer service, and ensure consistent upskilling of the team. Reporting and Coordination: Prepare regular reports on team performance, client feedback, and process improvements. Coordinate with embassies, travel agencies, and other stakeholders as needed. Problem-Solving: Handle escalations, troubleshoot application issues, and resolve complex travel and visa-related queries efficiently. Visa Processing & Documentation Visa Procedures Expertise: In-depth knowledge of visa application processes for various international destinations. Document Handling: Ensuring proper documentation, appointment scheduling, and system entries for visa applications. Regulatory Knowledge: Familiarity with embassy requirements and international travel regulations. 4. Travel Consultation & Planning Itinerary Design: Creating customized travel itineraries, including flights, accommodation, and local transportation. Booking Systems: Proficient in using e-travel platforms and computer reservation systems to make travel bookings. Cost Optimization: Providing cost-effective travel solutions without compromising on quality. 5. Training & Development Staff Training: Developing and conducting training programs on travel systems, visa processes, and customer service best practices. Process Improvement: Continuously identifying areas for team and process improvement to increase efficiency. 6. Reporting & Coordination Report Generation: Ability to prepare and analyse regular reports on team performance, client feedback, and operational efficiencies. Cross-Functional Coordination: Experience in collaborating with embassies, travel agencies, and other stakeholders to ensure seamless service. 7. Problem-Solving & Escalation Management Issue Resolution: Skilled in handling complex travel or visa-related issues with diplomacy and quick resolution. Critical Thinking: Ability to approach problems systematically, offering creative solutions under pressure. 8. Qualifications and Experience required: Bachelor’s degree in any field (preferred: Hospitality, Travel & Tourism, or related). Minimum 3 to 4 years of experience in travel, tourism, or visa processing, with at least 1 year in a team lead or supervisory role. In-depth knowledge of visa application processes for major international destinations. Proficient in MS Office applications (Word, Excel, PowerPoint). Familiarity with computer reservation systems and e-travel platforms. Excellent communication and interpersonal skills. Strong organizational, multitasking, and problem-solving abilities. Proven ability to manage teams and work under pressure in a deadline-driven environment. Job type: Full time -on site (work from office) on a permanent basis.
