As a Bookkeeper, you will be the backbone of our financial tracking, reconciliation, and reporting systems, helping Gigabrain operate with clarity, precision, and profitability.Day-to-Day Duties:Maintain and reconcile all financial records including client invoices, reimbursements, payroll entries, and operating expenses.Oversee weekly and monthly reconciliations of bank accounts, credit cards, and third-party platforms (Stripe, PayPal, Amazon, etc.).Track and report client retainers, bonuses, and ad spend reimbursements with accuracy.Ensure accurate categorization of agency expenses and client-related transactions across multiple accounts.Work closely with the Brand Management team to verify revenue recognition and service delivery are aligned.Support onboarding/offboarding financial setup for new and exiting clients.Prepare monthly P&L statements segmented by department and client.Maintain clean, audit-ready books using QuickBooks Online or similar platform.Track accounts receivable and follow up on overdue invoices in coordination with Account Managers.Support tax preparation and liaise with external accountants and legal teams as needed.Maintain detailed documentation and SOPs for all financial processes.Roles & Responsibilities:ClickUp tasks and financial processes are tracked and updated consistently.Accurately record Amazon-related financial activity including reimbursements, PPC charges, and client budget adherence.Collaborate with the Advertising and Brand Management teams to ensure financial KPIs are met.Lead the monthly close process and ensure all journal entries, adjustments, and reviews are completed on time.Manage software subscriptions, contractor payments, and internal reimbursements with clear documentation.Flag any financial discrepancies, risks, or unusual activity for leadership review.Work with team leads to monitor department-level spend vs. budget.Create and maintain detailed financial dashboards or summaries for internal use.KPIs:100% accuracy in financial reporting and reconciliations95% of invoices paid on timeAll monthly closes completed within 5 business days100% vendor and client payments processed on time0 unresolved bookkeeping tickets older than 5 business daysQuarterly financial insights or cost-saving opportunities presented to leadershipCore Values of GigabrainExtreme OwnershipProblems are Fun and Solvable1% Better EverydayAccountabilityMoral PersonBest Thought WinsOne Life (Let’s Have Impact)Value in Everything You DoQualifications:3+ years of bookkeeping or accounting experience, ideally in a marketing, SaaS, or eCommerce agency.Strong working knowledge of QuickBooks Online (or similar platforms) and Excel/Google Sheets.Familiarity with Amazon Seller Central financial structure is a major plus (PPC, reimbursements, inventory reconciliation).Experience handling multi-client service invoicing and bonus-based billing structures.Understanding of accrual accounting, chart of accounts, and GAAP standards.Detail-oriented and process-driven with strong documentation habits.High proficiency with workplace tools such as ClickUp, Slack, and Zoom.Strong communication skills and ability to coordinate across departments.Growth Path of Eventual Responsibilities:Build internal automation systems for financial tracking and reconciliation.Become the go-to person for strategic financial planning, cost optimization, and cash flow forecasting.Help drive pricing model adjustments and margin analysis for agency offerings.Train new finance or operations hires as the agency scales.Gain exposure to cross-departmental strategy (Advertising, Brand, HR, Sales).Step into a financial operations leadership role as Gigabrain continues growing.Gigabrain Benefits:Competitive salary based on experience401(k) with up to 4% employer match after 12 monthsHealth Benefits (Medical, Dental, Vision) after 90 daysUnlimited Paid Time Off7 Paid Company HolidaysOpportunity to run your own Amazon business using agency resourcesFull-time remote role with autonomy and clear expectationsWork schedule: 6–11 AM PST mandatory; remaining 4 hours flexibleTo apply, please complete this form:upload your resume.Note: If you don’t meet every requirement but still feel excited about the role, please apply.
