Position:Assistant manager - Administration Department:Administration Reporting to:Senior Manager - Administration Job Location:Vijayanagara, Karnataka Work Type :Contractual or Permanent Nature of Work:OnsiteAbout the role:We are seeking adynamic and detail-oriented professionalto join our Operations team asAssistant Manager – Administration . The ideal candidate will be responsible for managing theend-to-end travel, accommodation, and logistical coordinationfor athletes, coaches, and support staff across domestic and international engagements. This role demands strong organizational capabilities, effective communication, and the ability to operate under time-sensitive and high-pressure conditions.Key Responsibilities:Travel Coordination: Plan and managedomestic and international bookingsincluding flights, trains, buses, and cabs for athletes, teams, and staff. Ensure all bookings align with competition and training schedules.Accommodation & Local Logistics Arrangeaccommodation and local transport(shuttles, cabs, venue transfers) for camps, events, and institutional assignments. Monitor on-ground arrangements for comfort, safety, and timeliness.Vendor Management & Liaison Collaborate withtravel agencies, transport companies, and accommodation providersto ensure cost-effective and quality arrangements. Negotiate rates and establish reliable vendor networks for repeat use.Documentation & Reporting Maintain updatedtravel itineraries, schedules, and relevant documentation . Preparepost-travel reports , reconcile bookings, and support audits when required.Emergency Handling &Financial Oversight Respond to last-minute changes, cancellations, and unforeseen events with real-time solutions to minimize disruption. Track and manage travel budgets, maintain spending logs, and prepare expense reports in line with company policies.Event Support Work alongside internal teams to supportlarge-scale training camps, tournaments, and events , ensuring logistical readiness.Required Qualifications & Experience: Education : Graduate or Postgraduate in any discipline Experience : Minimum 2 years of professional experience in travel coordination, logistics, or administrative support. Preferred : Background in the travel or ticketing industry is a strong advantage.Skills and Competencies: Proficiency in Microsoft Office Suite (Excel, Word, Outlook); exposure to travel management tools or CRMs is a plus. Strong written and verbal communication skills. Good negotiation and vendor management abilities. Ability to multitask and perform under tight deadlines or pressure situations Excellent attention to detail and organizational skills.
