Position Title: Secretary (Female)Department: AdministrationLocation: École Mondiale World School, MumbaiReporting to: Department Heads / Coordinators / Head of SchoolExpectationsAs a key member of the school’s administrative support team, the Secretary is expected to:• Demonstrate professionalism, confidentiality, and integrity in all aspects of work.• Support academic and administrative leadership in managing schedules, communication, and documentation.• Maintain a well-organized and efficient administrative system to support school operations.• Show strong interpersonal and communication skills with a variety of stakeholders.• Display initiative, flexibility, and efficiency in a fast-paced school environment.• Respect and promote the school’s mission, vision, and values.• Contribute positively to the collaborative culture of the school.• Remain up to date with school policies, platforms, and tools relevant to administrative processes.Key Responsibilities• Manage daily, weekly, and monthly calendars, scheduling meetings, appointments, and events.• Prepare, edit, and format documents, letters, presentations, and reports.• Handle and direct telephone calls, emails, and other communication efficiently.• Maintain confidentiality and secure handling of sensitive documents and information.• Support administrative processes using school software and applications related to student and teacher records.• Assist in organizing school-wide meetings, events, and communication.• Collaborate with Programme Coordinators and Department Heads to support documentation and workflow.• Support admissions procedures including appointment scheduling and coordination.• Maintain organized digital and physical filing systems.• Provide communication support including drafting messages, sending announcements, and coordinating follow-ups.• Manage logistics for internal and external school events.• Assist in preparing documentation required for IB authorizations, evaluations, and inspections.• Coordinate with parents, students, and visitors as required.• Undertake other administrative duties as assigned by the school administration.Candidate Requirements• Bachelor’s Degree from a recognized university.• Minimum 4 years of relevant experience in an administrative/secretarial role, preferably in the education sector.• Excellent verbal and written communication skills in English.• Strong organizational and time management abilities; detail-oriented.• Proficient in Microsoft Office etc.• Professional, approachable, and discreet with a collaborative mindset.• Ability to multitask, prioritize responsibilities, and manage deadlines efficiently.Note: Preferred School experience Safeguarding StatementÉcole Mondiale World School is committed to safeguarding and promoting the welfare of children and young people.
