Job Description

Key Responsibilities:A. Invoicing & DocumentationPrepare and issue GST-compliant sales invoices in ERP/Tally or billing software.Coordinate with the sales team to ensure invoice accuracy as per the customer's PO/contract.Track and maintain records of credit/debit notes, proforma invoices, and delivery challans.Upload invoices, e-way bills, and shipping documents to customer or government portals as required.Preparation of Quotation.Generate e-invoices and e-waybills through the GST portal or integrated systems.B. Order & Dispatch CoordinationLiaise with warehouse/logistics partners to align invoicing with dispatches.Maintain dispatch logs and courier PODs for reference and MIS.Coordinate with transporters and courier companies for timely pick-ups and deliveries.C. Records & ReportingMaintain and update customer master data (GSTIN, PAN, contact details, billing/shipping addresses).Record inward and outward product movement details for inventory traceability.Share daily/weekly invoice summaries with management and sales teams.Assist in preparing monthly reports for GST filing and sales analysis.D. Administrative SupportMaintain files—physical and digital—related to customers, vendors, products, and transactions.Handle stationery and office supplies procurement and inventory.Support documentation for audits, ISO, or other compliance-related processes.E. Communication & CoordinationAct as the communication point between accounts, sales, logistics, and vendors for invoice-related clarifications.Respond to client queries on invoices, payment terms, or document requests.Follow up with internal departments for pending documents, approvals, or dispatches.Key Skills & Competencies:Good knowledge of GST rules, invoicing, and documentation practices.Familiarity with ERP systems (e.g., Tally, Busy, Zoho Books) and MS Excel.Organized and detail-oriented with a strong sense of accuracy.Ability to multitask and manage priorities under pressure.Basic understanding of B2B sales processes and industrial product types.Good verbal and written communication skills (Hindi and English).Qualifications & Experience:Education:  / BBA / Graduate in any discipline (Commerce preferred).Experience: 2–4 years in invoicing or admin roles in trading/distribution/industrial companies.Exposure to B2B customer documentation and dispatch workflows is an added advantage.
