Job Description:We are looking for a smart, dependable, dedicated Admin Coordinator, who will primarily support our India, UAE and USA offices. The ideal candidate will be someone used to handling discreet, confidential matters and experienced in secretarial responsibilities like handling emails, creating presentations, data entry in Google Docs, Google Sheets, MS 365,scheduling appointments, organizing travel arrangements, taking notes and managing day to-day office admin responsibilities. It also includes social / relationship management responsibilities like assistingthe global or Europe CEO in organizing events, lunch / dinner meetings, for clients and employees at various offices. This is an onsite role based in Wakad / Hinjewadi locality, Pune, India.Responsibilities:• Office Organization: Support of the India, Dubai and USA offices. Open (or) closing. Handling local vendors.• Support to Management: Provide administrative assistance to executives and managers.• Scheduling and Coordination: Managing calendars, scheduling meetings and appointments, and coordinating travel arrangements.• Communication: Handling incoming and outgoing correspondence (emails, phone calls, mail), ensuring proper communication and information flow.• Document Management: Preparing and editing documents, presentations, and reports; maintaining filing systems (both physical and digital).• Office Operations: Opening & closing of office, managing office supplies, ordering equipment, and maintaining a tidy and functional workspace.• Data Management: Updating information in databases & spreadsheets, managing inventory, and tracking expenses.• Team Support: Assisting team members with administrative tasks, coordination, and communication.• Specialized Tasks: Tasks may include event planning, research, or assisting with HR-related tasks.Essential Skills:• Strong Organizational Skills: Managing multiple tasks, prioritizing efficiently, and maintaining records effectively.• Excellent Communication Skills: Effective written and verbal communication, including phone etiquette and email correspondence.• Technical Skills (you will need to pass a tech test): Strong skills in Microsoft Office (Word, Excel, PowerPoint), Google Docs, Google Sheets, SLACK, WhatsApp, and other admin applications.• Time Management: Meeting deadlines, prioritizing tasks, and managing time effectively.• Problem-Solving Skills: Identifying and resolving issues efficiently and effectively.• Attention to Detail: Ensuring accuracy and thoroughness in all tasks.• Flexibility to work across different time zones and handle a dynamic schedule.• Experience supporting a global CEO is a valuable asset.• Skilled dependable person known for abiding by the organization's confidentiality rules and regulations.• Friendly, outgoing & very personable persona who presents themselves well.• Self-motivated, team player. Open to travel within and outside India.Qualifications:• A degree from a recognized college.• At least 3 years of experience in a similar role, ideally supporting small / medium sized business.• Fluent in English (you will need to pass a written and verbal test).• Knowledge of any European language is a big plus.• Must have a valid Passport.
