Job Summary:We are seeking a detail-oriented and proactive Office Admin to join our growing firm. This role is critical in ensuring smooth day-to-day operations by managing communications, organizing workflows, and providing exceptional support to our clients and team. The ideal candidate will be fluent in English with excellent communication skills, strong organizational abilities, and a passion for delivering quality service.Key Responsibilities:- Manage the firm’s email inbox, including sorting, responding to, and delegating emails appropriately. - Answer and manage incoming phone calls via the office’s IP phone system - Schedule and coordinate client meetings, both in-person and virtual. - Prepare and send follow-up emails to clients after meetings, including summarizing notes and next steps. - Assist in creating and maintaining client records in the firm’s database or CRM system. - Provide timely responses to client inquiries and requests. - Maintain organized filing systems for client records and office documentation on online portal. - Monitor and track project progress using tools like Microsoft Planner or other project management software. - Assist in preparing standard operating procedures (SOPs) and process documentation. - Utilize tools such as AI-generated meeting transcripts to prepare detailed notes. - Manage scheduling tools and ensure meetings are aligned with the team’s calendar. - Perform light tech-related tasks, such as updating data in software like Drake Tax or bookkeeping systems. - Assist with social media management, including scheduling posts and monitoring engagement. - Help the team with any additional administrative or operational tasks as needed.Qualification and Experience:• Bachelor's degree required.• Previous experience in an administrative, virtual assistant, or support role, preferably within a CPA or professional services environment.• Proficiency in multitasking, organizational skills, and excellent written and verbal English communication.• Familiarity with Microsoft Office, Google Workspace, CRM systems, and bookkeeping software preferred.• Ability to thrive in a fast-paced environment and manage multiple priorities effectively.• Availability in the Indian Time Zone is a must.Preferred Skills:• Fluent in spoken English with the ability to make calls to clients in the USA.• Working hours from 9:30 AM to 7:00 PM Indian Standard Time.• Onsite work required at our office in Adajan Surat.Benefits:• Supportive work culture that encourages continuous learning and development.• 5 Day work week.• Paid leave benefits.• Access to experienced mentors for guidance and growth.• Convenient prime location at Adajan Surat.Join us and grow with a team that values your contributions.Interested candidates may directly apply by sending their resumes to: careers@Contact: 9510842477Note: No bar for the right candidates.
