In this key role, you will facilitate collaboration, maintain project documentation, and help drive the effective execution of projects aligned with the College’s strategic goals. As a Project Coordinator, you will work closely with stakeholders across departments to ensure that projects and action plans are delivered efficiently and on schedule. You will support project planning, scheduling, and execution, enabling effective collaboration between teams. A key part of your role will involve capturing evidence and outcomes from various institutional projects. This includes building and overseeing clear project and action plans, tracking progress, and ensuring seamless communication and coordination across departments. To succeed in this role, you will need excellent organisational skills, strong attention to detail, and the ability to manage multiple priorities. By maintaining accurate documentation, monitoring project timelines, and facilitating cross-departmental communication, you will contribute to enhancing our operational processes and supporting continuous improvement in project delivery. Key responsibilities: • Assist in the planning, scheduling, and coordination of projects across different departments. • Tracking action/project plan progress and report on milestones, risks, and issues. • Maintain detailed documentation, including project plans, reports, and meeting minutes. • Coordinate meetings, prepare agendas, and follow up on action items. • Monitor project budgets, expenses, and resource allocation. • Manage administrative tasks such as document control, procurement processes, and compliance tracking. • Identify and mitigate potential project risks by developing contingency plans under the advice of project leads. • Ensure adherence to project timelines and college policies. • Provide support in data collection, analysis, and reporting for project evaluations. Ensure robust planning, schedule status updates with owners and contributors, across different departments. • Assist in the development and implementation of project management best practices within the college.• Maintain oversight of institutional projects and action plans, acting as the primary point of contact for all project-related queries. Additional responsibilities: • Provide support for events, workshops, and training sessions related to project initiatives. Maintain and update project dashboards and reporting tools to provide real-time project insights. • Facilitate continuous improvement initiatives by gathering feedback from project stakeholders and suggesting process enhancements. Maintaining a comprehensive project plan that encompasses all workstreams, deadlines, risks and dependencies. Oversee the project governance process, including progress reporting to senior stakeholders. Act as the primary point of contact for the active projects, facilitating regular meetings and providing updates to all stakeholders. Coordinate the necessary updates to systems, documents, consultation and communication plans, procedures to successful embed the desired change, from updates to the student record system, timetabling, letter templates, to marketing material and website content. Document all processes, workflows, and decisions to support sustainability and clarity post implementation. Ensure a thorough handover process to the team(s) that are required to maintain into business as usual (BAU). Person Specification EXPERIENCE & TECHNICAL SKILLS • A relevant project management qualification (e.g. PRINCE2, Agile, or equivalent) – desirable but not essential if able to demonstrate core qualities detailed. • Skilled professional with experience in managing cross-functional change initiative, particularly in Higher Education (HE) or complex organisational settings. • Excellent project management skills, including the ability to create and manage detailed project plan, budgets, and risk logs. • Demonstrated success in delivering projects involving systems updates, process changes, and stakeholder communication. • A proven ability to manage competing priorities and deliver results within tight deadlines. • Strong knowledge and practice of business process management, finance operations, reporting procedures and best practice internal control processes. • Confident communicator to senior stakeholders. • Strong experience with systems, including the use of project management tools and Microsoft Office products. Maintain a good level of appropriate knowledge in change /project management and best practice. Resilient and able to handle pressure in a fast-paced environment. Strong problem-solving skills with the ability to think creatively and strategically.
