Sigmoid has been recognized as one of the fastest growing technology companies in North America, 2021, by Financial Times, Inc. 5000, and Deloitte Technology Fast 500.We’re looking for a Travel & Procurement Head who will collaborate closely with the Global H&S, Physical Security and Travel Manger to manage the corporate Travel Management Company.This role involves overseeing the daily operations with the travel team setting up the entire process, addressing travel enquiries and service issues, monitoring travel expenditure and ensuring compliance to the Global Travel Policy.You will also play a key role in providing regular training and awareness sessions, identifying cost savings opportunities through report analysis, and ensuring the safety of our colleagues whilst on business travel.What We Expect From You- Global Travel background and experience. - Knowledge of travel risk management and safety procedures. - Support the Global H&S, Physical Security and Travel Manager with regular meetings and quarterly business reviews with the Global Travel Management company. - Establish a strong collaborative relationship with other global offices (UK, India, USA, and LATAM). - Ensure travel arrangements comply with company policy and budget. - Maintain and update the Sigmoid’s Global Business Travel and Expenses Policy and Travel Hub to ensure all relevant documents are up to date. - Be the primary contact for all travel and event queries and be the escalation point for any service issues/complaints ensuring these are followed up promptly and effectively to achieve a full resolution. All service-related complaints and issues must be regularly monitored and documented. - Perform regular daily checks on the Approval Tool to ensure all travel request have been routed to the correct approvers and approved promptly, to avoid the risk of missed fares and cancelled bookings. - Conduct daily reviews of all travel bookings and proactively question any fares or rates that appear high, ensuring that cheaper alternatives are always being offered. - Deal with all online booking tool queries and updates. - Check the daily pre-trip travel reports to visually track the locations of our colleagues, identifying any bookings made to high-risk countries or any other risks (i.e. solo female travelers/early morning arrivals, etc..) and report these to the Physical Security Team. - Administer and maintain and implement travel portal, which displays all colleagues travel details ensuring that any leavers are removed from the system. Do quarterly check-ins with tools to ensure they are receiving all our global PNR data. Check the ‘weekly’ tool reports to check any missing data with the Travel Agent. - Work in collaboration with Accounts Payable Team with reconciling the monthly lodge card payments generated by the TMC to ensure all transactions are correct and any refunds/credits have been issued. - Assist with the negotiations for global preferred hotels and establish a strong working relationship with them to ensure ongoing support for any urgent bookings. - Report any regular ‘out of policy’ bookings to the Global H&S, Physical Security and Travel Manager for investigation. - Assist with the completion of the annual Travel Pattern for Sigmoid’s employees’ - Provide training for all users and new starters on travel booking platforms, processes, and the Global Travel Policy. - Stay updated on new travel technologies and tools. - Gain regular feedback from travellers/travel bookers to continuously improve travel services. - Work with the Global H&S, Physical Security and Travel Manager on producing relevant and timely monthly data on travel volumes and costs (and suggest cost saving opportunities)
