Project Coordination Design Liaison Coordinate between the design team and execution team to ensure accurate communication of drawings and specifications. Organize design review meetings and ensure design decisions are implemented on site. Documentation Maintain updated records of all project drawings, revisions, approvals, BOQs, vendor quotes, and material samples. Prepare and manage project trackers, schedules, MOMs (Minutes of Meetings), and daily work reports. Procurement Coordination Identify procurement requirements based on project timelines. Coordinate with vendors/suppliers for timely sourcing, ordering, and delivery of materials and finishes. Track material dispatches and ensure delivery to site as per schedule. Vendor/Consultant Management Coordinate with external consultants (MEP, structural, HVAC, etc.) and vendors to ensure integration with the project scope. Assist in floating RFQs/RFPs, obtaining quotations, and comparing technical and commercial terms. Client Interaction Attend client meetings when required, relay progress updates, and assist in addressing client concerns or changes in scope.2. Project Management Planning & Scheduling Develop detailed project schedules in coordination with all stakeholders. Define project milestones, deliverables, and critical path activities. Regularly update and circulate the work program with progress status. Resource Allocation Coordinate with the internal team and contractors to allocate appropriate manpower, tools, and resources for each stage of the project. Budget Monitoring Assist in preparing project cost estimates and tracking actual expenses against budgets. Monitor material usage, wastage, and site expenses to control cost overruns. Risk Management Identify potential project risks (delays, procurement issues, coordination gaps). Take corrective actions and escalate critical risks to the management in a timely manner. Reporting Prepare weekly/monthly progress reports, including status updates, delays, site photos, and upcoming tasks. Maintain a checklist of project deliverables and snag items.3. Site Supervision Execution Oversight Supervise all site activities including civil, electrical, plumbing, carpentry, painting, and finishing work. Ensure execution as per approved drawings, technical specifications, and quality standards. Drawing Implementation Interpret architectural/interior drawings and ensure they are followed correctly on site. Address site-level drawing conflicts or discrepancies in coordination with the design team. Quality Control Conduct regular inspections to ensure workmanship and materials meet the design and quality benchmarks. Maintain site checklists and quality audit logs. Safety Compliance Ensure that all work is carried out in compliance with safety norms and regulations. Conduct safety briefings and ensure workers follow PPE guidelines. Daily Monitoring Maintain a daily site diary including manpower count, work status, material stock, and photos. Coordinate with multiple teams/subcontractors to avoid clashes or delays. Handover & Closure Oversee final site checks, quality audits, and snag list resolution. Ensure timely project completion, documentation, and client handover. Soft Skills & Behavioral Expectations Strong communication and interpersonal skills. Proactive problem-solving and on-ground decision-making ability. High attention to detail and organizational skills.
