Job Description

The Reception & Administration Executive is responsible for managing front desk operations, handling administrative tasks, and ensuring a smooth office workflow. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.Key Responsibilities1. Reception & Front Desk Management:• Greet visitors and manage incoming calls in a professional manner.• Handle courier services, mail distribution, and front desk inquiries.• Maintain a tidy and welcoming reception area.2. Office Administration:• Oversee office supplies, stationery, and inventory management.• Support HR and Admin teams with documentation and filing.• Assist in coordinating meetings, travel bookings, and appointments.• Maintain employee attendance and visitor records.3. Vendor & Facility Coordination:• Liaise with service providers (housekeeping, security, IT, etc.).• Ensure office maintenance, repairs, and cleanliness are managed efficiently.• Handle procurement of office essentials within budget.4. Travel & Event Coordination:• Arrange travel bookings, accommodations, and transportation for staff.• Assist in organizing company events, conferences, and meetings.5. Compliance & Record-Keeping:• Maintain confidentiality of sensitive documents and company records.• Ensure adherence to company policies and administrative procedures.• Support in preparing reports, presentations, and correspondence.Key Requirements• Education: Bachelor's degree or diploma in business administration, office management, or a related field.• Experience: 2+ years in a receptionist or administrative role, preferably in the shipping/logistics industry.Skills:o Excellent verbal and written communication.o Strong organizational and multitasking abilities.o Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).o Professional telephone and email etiquette.o Ability to handle confidential information with discretion.Preferred Qualifications:• Experience working in a shipping, logistics, or maritime company.• Knowledge of basic accounting and office management software.• Ability to coordinate with international teams and vendors.Work Conditions:• Office-based role with standard working hours.• May require occasional extended hours for meetings or events.
