General Responsibilities: Manage day-to-day facility operations, including maintenance, repairs, and upgrades Develop and implement facility management policies and procedures Oversee security, janitorial services, landscaping, and other facility-related functions Ensure the facility is in compliance with all relevant regulations and standards Manage budgets and allocate resources efficiently Coordinate with external contractors and service providers Conduct regular inspections and audits of the facility Creation of daily, weekly, monthly and yearly maintenance schedule Ensure all logbooks and registers are updated on regular basis Participate in cross-functional training to enhance facility management capabilities Stay updated with industry best practices and technological advancements Assist in the development and implementation of facility-related policies and procedures Provide support and guidance to other team members as needed Communicate effectively with stakeholders regarding facility management activities and issues Ensure complies with the provisions of the Factories Act, 1948, which regulates working conditions, health, safety, and welfare of workers. Ensure complies with fire safety regulations by maintaining proper fire-fighting equipment, emergency evacuation routes, and regular fire drills. Obtaining fire safety certification from local authorities and ensure regular inspection and maintenance of fire detection and suppression systems. Ensure that the building complies with local building codes and safety regulations Ensure compliance with labor laws, including those related to working hours, overtime, minimum wages, and employee welfare (like The Minimum Wages Act, The Payment of Wages Act). Provide necessary facilities like drinking water, restrooms, and canteens for workers, as required under labor laws. Adhere to the Employee Provident Fund (EPF) and Employee State Insurance (ESI) requirements for own staff and maintain documents at site. Establish procedures for handling workplace accidents, injuries, or emergencies, including filing required accident reports with local authorities. Ensure that all necessary permits and licenses (e.g., pollution control board clearance) are up to date and renewed in a timely manner. Maintain compliance with inspections by regulatory bodies such as the Electrical inspectorate, labor departments, and pollution control authorities. Maintain statutory records such as accident reports, attendance logs, and maintenance records in compliance with legal requirements. Keep updated records of workers' safety training. Monitor water usage, waste disposal, and other utility management practices to ensure compliance with environmental and resource management laws. Establish a disaster management plan that includes protocols for handling emergencies like fire, chemical spills, or natural disasters. Conduct regular drills and ensure staff are trained in emergency evacuation procedures. Prepare/present MMR and discuss the same every month. ISO 9001: Quality Management: Implement and maintain a quality management system for facility operations Ensure all facility-related activities meet high-quality standards Conduct regular audits and inspections to ensure compliance with quality standards Identify areas for improvement and implement corrective actions Document all facility management activities accurately and completely Provide training and support to staff on quality management practices ISO 14001: Environmental Management: Develop and implement environmental management practices for the facility Monitor and manage the facility’s environmental impact, including waste, energy, and water usage Ensure proper disposal of hazardous materials Promote and implement sustainable practices within the facility Conduct environmental impact assessments and implement mitigation strategies Stay updated on environmental regulations and ensure compliance Provide training and support to staff on environmental management practices Ensure compliance with environmental laws related to waste management, air, and water pollution control, such as those under the Environmental Protection Act, 1986. Monitor and manage hazardous materials, chemicals, and waste to ensure they are disposed of as per legal requirements. Implement eco-friendly initiatives and ensure adherence to environmental sustainability practices. ISO 45001: Occupational Health and Safety Management: Develop and implement health and safety management practices for the facility Conduct regular risk assessments and implement mitigation strategies Ensure the facility complies with all health and safety regulations Promote a culture of safety within the facility Conduct safety training and drills for staff Monitor and report on health and safety performance Investigate and address health and safety incidents and near misses Maintain accurate records of health and safety activities Ensure work permit is filled and signed off by all the stakeholder before commencement of the work. Ensure TBT is done and documented before commencement of work. Ensure that workers receive appropriate training on safety measures and procedures. Ensure proper use of Personal Protective Equipment (PPE) and adherence to safety standards in hazardous areas. Specific Responsibilities by Area: 1. Maintenance and Repairs: Oversee the maintenance and repair of all facility equipment and systems Develop and implement preventive maintenance programs Ensure timely response to maintenance requests and issues Manage maintenance staff and external contractors (e.g., Pest control, STP, Swimming Pool) 2. Security: Develop and implement security policies and procedures Ensure the facility is secure and access is controlled Monitor security systems and respond to security incidents Coordinate with security staff and external security providers 3. Janitorial Services: Oversee the cleaning and maintenance of all facility areas Ensure high standards of cleanliness and hygiene Manage janitorial staff and external contractors
