Job Description

The role can be based in Delhi or Coimbatore. Reporting directly to the Senior Operations Manager, the Senior Operations Specialist will ensure that all non-food goods order processing activities, from pre-order facilitation through to shipment, are executed in accordance with procurement planning. You will act as a bridge between the local suppliers and our internal customers, coordinating with the commercial, quality, and logistics teams to ensure timely order placement and shipments. You will solve problems, prevent delays, and keep clients and key stakeholders informed. Key Responsibilities: Supervise and execute the entire order placement workflow, following procurement planning from the origin, ensuring the timely and accurate completion of purchase order placement using our enterprise system and tools. Responsible as the primary point of contact for order administration to resolve anomalies and identify concerns among clients, commercial teams, and suppliers, and ensure reflection in our enterprise systems & tools. Analyze and identify potential production delays, coordinating with Quality teams and suppliers. Identify potential shipment risks and delays, and proactively communicate these to clients. Provide regular updates to clients regarding order status and anticipated issues. Develop and nurture strong relationships with international clients, ensuring clear and professional communication to meet client expectations. Collaborate with the Quality and Logistics teams and/or third-party logistics providers to resolve any quality and shipping issues, ensuring timely shipments in accordance with the plan. Monitor and track suppliers’ payments, addressing any discrepancies with Letters of Credit (L/C), and place amendment applications using the system. Counsel suppliers by coordinating with the Import Finance Team. Escalate complex challenges that require additional support and collaborate with relevant teams to ensure timely resolution. Prepare periodical report with KPI evolution, supplier performance scoring, and other related preparations. Qualifications and Skills: Academic Requirements: Bachelor’s degree in Business or a related field (Supply Chain, Textile, and/ or Operations). Experience: A minimum of three to five years of professional experience in a relevant job is preferred. Analytical Skills: Strong ability to analyze data and generate reports. Problem-Solving: Excellent problem-solving skills Communication: Outstanding communication and relationship-building skills with multi-cultural stakeholders. Multi-Tasking: Proven ability to handle multiple tasks simultaneously and perform well under pressure. Team Coordination: Skilled in coordinating efforts across multiple teams and stakeholders.
