Job Description

Position: Operations Coordinator Department: Operations Location: (Insert Location) Reporting To: Operations Manager / Senior Management Role Overview: The Operations Coordinator ensures seamless execution of internal orders, documentation, and coordination between departments such as procurement, accounts, and client servicing. This role is central to maintaining operational accuracy, timely communication, and efficient system updates to support dispatch and installation processes. Key Responsibilities: Process internal sales orders and generate lease/sale agreements, delivery challans, and dispatch orders. Coordinate with procurement for inventory allocation or purchasing, and with accounts to raise Proforma Invoice (PI) requests. Communicate with clients to share dispatch and installation plans at least one day before dispatch. Raise indents for customization (internal or third-party) after necessary approvals. Track client agreement renewals and ensure timely updates. Maintain and update all trackers, including Google Forms, CRM, inventory logs, and movement sheets, on a daily basis. Ensure all documentation is complete, compliant, and up to date for smooth execution of orders. Turnaround Expectations: Internal sales orders and inventory/procurement actions must be completed the same day. Delivery challans and agreements should be shared before dispatch. PI requests to be raised within 24 hours. Dispatch orders must be issued the same day the signed agreement is received. CRM, inventory, and movement logs must be updated daily. Client emails regarding dispatch and installation must be sent at least one day before dispatch. Agreement renewals to be managed as per their due dates. Candidate Profile: Education: Bachelor’s degree in Business Administration, Operations, or related field. Experience: 1–3 years in operations, logistics coordination, or back-office support. Skills: Strong organizational and time management skills Attention to detail and accuracy Proficient in Google Workspace, Tally, and CRM tools Clear and timely communicator Process-oriented with the ability to manage multiple tasks What Success Looks Like: Daily accuracy in documentation and system updates Zero delays in dispatch or communication Smooth coordination with internal teams and clients High ownership and reliability in task completion
