Roles and Responsibilities: In addition to managing the team and overseeing their day-to-day performance, the Assistant Manager – School Administration will also be individually responsible for: Communication – Sending requisite communication to parents through email and SMS : Examples include fee deadlines, student trips, events, examination schedules, reminders etc. – Checking school email and responding promptly. Parent interaction – Meeting with parents visiting the campus, understanding their needs, and addressing them appropriately (especially when they have already interacted with the front office but require additional support). – Addressing parent queries at the office level without the need to escalate to the Head of School (HoS). Transportation – Escalating and following up on any transportation related issue with the vendor/in-house transportation team and ensuring that the parent concerned is kept updated. – Overseeing boarding and deboarding of students from buses. Database/record keeping – Creating/deleting Google IDs for students and staff as and when they join/leave. – Mapping students to classes on software solutions like PowerSchool and UC (eventually). – Maintaining the acquittance register and service registers. – Students leave/early out requests maintenance. – Updating record of parent interaction with HOS/Director on respective google sheets and PowerSchool pages. – Generating reports for HOS and maintain school-specific dashboards. – Substitution allocation among all campus administration staff on a daily basis. ID cards – Preparing data required for ID card - Photographs, student database. – Ensuring ID card data drafts are verified thoroughly before printing. – Issuing duplicate ID cards in case of loss of card by students (coordinating with vendor). Vendor Management – Managing different vendors for various campus requirements. While the campus manager shall be interacting with the vendors, the office needs to be aware of the vendors and get involved as and when required for placing orders / coordinating/validating delivery/placing complaints. Facilities manager, staff and security oversight – Monitoring work of campus manager and supervisor on a daily basis. – Assigning work to support staff in the absence of campus manager/supervisor. – Keeping a tight watch on security measures at the campus. Preparation of certificates on-demand – Be the central point of contact for generating student-related certificates on behalf of campuses such as bonafide, character certificates, TCs, etc. Board Work – Responsible for any CBSE/ICSE/IGCSE related board work including - Consolidating documents for affiliation related purposes. Student database uploads on board websites. Student examination registrations. STS database uploads (or any equivalent State Govt. reporting.) Any other work found appropriate and assigned by the Head of School/Head Office.
