Job Description

Key Responsibilities Manage and coordinate domestic and international travel arrangements including air, rail, road transport, and hotel bookings. Handle emergency travel requests and manage last-minute changes with agility and professionalism. Oversee daily travel desk operations, ensuring timely and efficient service delivery. Drive automation and digitalization of travel-related processes to improve efficiency and reduce manual intervention. Build and maintain strong relationships with travel agencies, airlines, car rental companies, and hotel partners. Negotiate and manage contracts and service-level agreements (SLAs) with vendors to ensure competitive pricing and service quality. Monitor vendor performance, resolve service issues promptly, and ensure compliance with agreed standards. Ensure full adherence to company travel policies and procedures. Regularly review and update travel policies in line with cost-efficiency, compliance, and employee satisfaction goals. Conduct training sessions for employees and stakeholders on travel policies, tools, and best practices. Monitor and analyze travel expenses, identifying opportunities for cost reduction and improved budgeting. Prepare and manage annual travel budgets in collaboration with finance and other departments. Maintain detailed travel records and generate Management Information System (MIS) reports for senior leadership. Analyze travel trends, costs, and patterns to support strategic decision-making. Implement robust travel risk management protocols to ensure employee safety during travel. Develop and maintain contingency plans for managing travel disruptions and emergencies. Qualifications and Requirements Proven experience in travel coordination or management (10+ years preferred). Strong organizational and time-management skills with the ability to manage multiple priorities. Excellent negotiation and vendor management skills. Proficiency in travel booking platforms and tools. Advanced skills in Microsoft Excel and data analysis. Strong communication and interpersonal skills. Detail-oriented with a strategic and analytical mindset. Knowledge of corporate travel risk management and industry best practices is a plus.
