Job Description

Executive assistant to support senior leadership The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience working in challenging environment, performing administrative duties, and providing support to Leaders. Given the dynamic nature of the executive landscape, we rely on executive assistants to be flexible and consistent while maintaining the confidentiality of high-level. Manage professional and personal scheduling of the business leader, including agendas, mail, email, phone calls, client management, meetings and logistics Coordinate complex scheduling and calendar management, as well as content and flow of information to business leader. Manage business leader’s travel logistics and activities, including air travel, visa, accommodation, ground transfers and meals. Manage executive leadership domestic and international air travel and coordinate visa for extended team. Extend support to international colleagues travelling to India and provide all required documentation support as well as on ground support. Receive and facilitate international colleagues during their stay in India including Hotel stay, office transfer, meals etc. Maintain professionalism and strict confidentiality. Organize, plan & execute events, both internal and off-site Support the business leader and provide additional support to executive team members, as directed. Manage communication on various projects and tasks, minute the meetings that Business Leader chairs. Plan and orchestrate work to ensure that business leader’s priorities are always met. Ability to work in a fast paced dynamic work environment; managing multiple business priorities Be agile and responsive to collaborate with key business leaders and stake holders real-time with adequate overlap of India and BU operating hours Develop and maintain good working relationships with the India ecosystem for smooth and easy coordination across but not limited to ISLT / SD SLT /Admin / Facilities / GSO etc Take Ownership of assigned roles and responsibilities and follow-up / follow through to complete execution Four or more years of experience in an administrative role reporting directly to upper management. Excellent written and verbal communication skills & time management skills Strong time-management skills and an ability to organize and coordinate multiple concurrent projects. Proficiency with office productivity tools and an aptitude for learning new software and systems. Ability to stretch when required, flexible team player, willing to adapt to changes and unafraid of challenges. Ability to maintain confidentiality of information related to the company and its employees.
