About the role: As a Production person, you are the face of Hyperlink when dealing with a client/vendor. You shall be the point of coordination between all involved in the event-client, internal teams at Hyperlink including BD & CS, Production, Creative, Finance as well as external agency partners. Right from the initial client connect, closure of a brief to the end of an event, you shall be expected to ensure top quality project management & the delivery of a seamless & enriching experience for the client. The role of an individual in the Production team requires him to envision an event & execute it to perfection, so as to deliver an outstanding experience to the client. As a Production ninja you will be required to provide all logistics & costs for all events and execute events to perfection. As a custodian for building client delight, you will need to have good understanding of materials, fabrication knowledge, fair knowledge of the market. Strong hold over vendor management. You will need to be solution oriented, an effective negotiator and an excellent communicator in working with clients, agency partners and supply chain vendors, as well as internal team. The role reports to the Group Head. Location: Work from office at Bangalore. Responsibilities: 1. Working on Briefs & Costings: Receive & understand the briefs from the Client Service person. In certain cases, meet the Creative team & discuss the brief along with CS person. Propose executable, innovative ideas & explore new technology for events. Work on Costings as per the brief & elements of the design. Ensure that the Costing is cost effective & feasible. Prepare a cost sheet. Collaboration with other departments specially CS & Creative Maintaining Venue banks for various types of events 2. Event Execution: Effective planning & thinking on events On the confirmation of an event, conduct a recce if required. Work on the layout of the event. All event requirements are to be sent to the vendors for the various elements involved. Prepare the Production Schedule for the event. Ensure sufficient manpower for the event i.e. Promoters. Be present at the Set up & ensure that Set up begins & flows as per the Production Schedule. Ensure that on site quality is delivered as promised by Client Service. At the end of the event, ensure that the dismantle begins as scheduled. Taking initiative to close all costs at the end of the event Preparing the Payment Advice to send to CS 3. Vendor Management: Sourcing vendors Getting competitive quotes from vendors while working on a costing Vendor Contracts & Agreements Finalizing the cost of materials & resources with the vendors Co-ordination on material delivery on time with vendors Negotiating with vendors, other agencies on cost reduction and availability of resources prior to the event Arrangement of payments to vendors, other agencies after the event Escalations (Vendors) Maintaining a Vendor Database Required Qualification, Experience & skills: Graduation in any stream. Post graduation in Event Management is an add on Production experience in the Events or BTL industry Strong relationship & connect with vendors Good understanding of materials, fabrication knowledge Fair knowledge of the market. Good Communication skills Has exceptional attention to detail and the ability to plan and manage multiple tasks and projects in parallel despite tight deadlines Proficiency with Microsoft Office, Autocad, Corel Draw Ability to work long hours & multitask, Operational efficiency
