Company: Teceze (Multi-national IT Services Organisation) Position Overview The Executive Assistant (EA) to the CEO will provide high-level administrative and operational support in a fast-paced, global environment. The EA will serve as a key liaison between the CEO and internal/external stakeholders, manage a complex schedule, and ensure the smooth running of day-to-day activities. This role requires exceptional organisational skills, discretion, and the ability to handle sensitive information with professionalism. Key Responsibilities Board and Executive Meetings: Attend and take comprehensive notes/minutes at board meetings, leadership team meetings, and other high-level discussions. Prepare and circulate meeting agendas, minutes, and follow-up action items. Administrative Support: Manage the CEO’s calendar, including scheduling and coordinating meetings, appointments, and travel arrangements (domestic and international). Handle confidential correspondence and documentation, ensuring prompt and professional communication. Day-to-Day Operations: Support the CEO with daily operational and strategic tasks. Organise and prioritise incoming requests, ensuring efficient workflow and time management. Prepare reports, presentations, and briefing materials as needed. Client & Stakeholder Interactions: Act as a point of contact for clients, partners, and internal teams on behalf of the CEO. Coordinate and prepare for client meetings, including logistics, agenda, and follow-up. Travel Management: Arrange complex international and domestic travel itineraries, including visas, accommodation, and transport. Prepare detailed travel briefs and manage travel-related expenses. Special Projects: Assist in coordinating and executing special projects and company events as assigned by the CEO. Qualifications & Skills Bachelor’s degree in Business Administration or related field (preferred). Minimum 5 years of experience as an executive assistant or similar role, preferably in a multi-national IT or technology environment. Exceptional verbal and written communication skills. Strong organisational and time management abilities. High level of professionalism, discretion, and confidentiality. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms. Ability to work across multiple time zones and adapt to changing priorities. Strong interpersonal skills and the ability to interact with senior executives and clients globally. Flexible and available for occasional travel at short notice. #teceze
