We are seeking a highly organized, proactive, and discreet Executive Assistant to support our Chairman in a fast-paced and dynamic environment, ensuring the seamless coordination of administrative, strategic, and personal tasks. Note: This position will close on 15th August 2025. Immediate Joiners Preferred. Position Title: Executive Assistant to the Chairman Location: Chennai Reports To: Chairman Experience: 5+ years in a similar role Employment Type: Full-time Key Responsibilities 1. Administrative Support  Manage the Chairman’s calendar, including scheduling appointments, internal and external meetings, and travel itineraries (domestic and international).  Prepare, review, and handle correspondence, emails, reports, and documents on behalf of the Chairman.  Maintain organized records, files, and databases to ensure confidentiality and accuracy.  Track deadlines, prioritize tasks, and manage reminders for the Chairman. 2. Communication & Coordination  Serve as the primary point of contact between the Chairman and internal/external stakeholders.  Coordinate communication with senior leadership, board members, government officials, clients, and partners.  Draft high-quality correspondence, memos, reports, presentations, and other documents. 3. Meeting & Event Management  Organize and manage logistics for meetings, including preparing agendas, documenting minutes, and following up on action items.  Plan and coordinate special events, conferences, and strategic meetings as directed by the Chairman. 4. Strategic & Business Support  Conduct research and prepare briefing notes on key topics, markets, competitors, or regulatory updates.  Assist the Chairman in tracking strategic initiatives, business decisions, and performance metrics.  Provide support in confidential business matters and ensure effective and timely execution. 5. Personal Assistance  Assist the Chairman with personal tasks, appointments, and logistics, as required.  Handle all personal and professional matters with the highest level of discretion and confidentiality. Required Skills & Qualifications  Proven experience as an Executive Assistant, preferably in a CXO-level role.  Exceptional written and verbal communication skills.  High level of integrity and discretion in handling confidential information.  Excellent organizational and time management skills.  Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other productivity tools.  Strong interpersonal skills with the ability to collaborate effectively across teams and with senior stakeholders.  Ability to multitask, prioritize effectively, and thrive in a fast-paced environment.  Willingness to work flexible shift timings and provide support in a hybrid or remote work setup.
