Administrative ensure that daily office operations are performed in a seamless and efficient manner. MAIN RESPONSIBILITIES A. Security Management :- 1.Reinforcing physical securityand logical security with such measures as CCTV cameras for Two plant 2. Organizing trainings for guards including behavioural training, safety training, and fire fighting anizing periodic fire drills and upkeep of fire extinguishers 4. Vehicle inward-outward registration, checking of vehicle papers at the gate 5. Defining roles and responsibilities of security guards B. Facility Management:- 1 Overseeing cleanliness and hygiene and total upkeep 2 Finalizing contracts, ensuring hygiene and cleanliness 3 Managing the inventory of housekeeping materials 4 Conducting surprise checks to ensure that standards are maintained 5 . Maintaining high standards of housekeeping in coordination with vendors, e.g pest control, laundry and other outsourced services 6. Requisitioning materials, buying supplies and equipment, monitor stocks 7. All office maintenance, renewal of AMCs for ACs, printers ,landline telephones,water purifiers and television sets, carpenter work, wiring, etc. 8. Liaison with government agencies and officials including labour office,factory inspectors, electricity board, police, and local authorities 9. Requisitioning materials, buying supplies and equipment, monitor stocks 10.Ensuring maintenance and repair of machinery, equipment, electrical and mechanical systems 11. Ensuring regular audits, identifying risks and ensuring measures to mitigate risks 12.Responsible for arranging Business Meetings/Seminars, office parties, get together, picnics, and team meeting C. Canteen Management 1. Administering the company canteen 2. Controlling hygiene of dining hall and maintaining check-lists 3.Attending internal and external audits 4. Control of crockery, cutlery, glassware, linen, and pantry equipment 5. Managing food waste 6. Finalising the caterer based on quality, timely arrival, quantity, hygiene & proximity. 7. Arranging the snacks & lunch for the employees and guests 8.Provision for the mineral water, tea & coffee vending machines. D. Transport Management 1. Scheduling bus routes, vehicle maintenance, and employee management 2. Monitoring mileage, ensuring efficient use of vehicles 3. Optimizing routes and checking utilization and non-utilization of vehicles 4. Arranging safety and security training of drivers and Employee 5.Periodically checking of vehicle fitness, medical tests of drivers,PUC, driving .licenses, insurance, taxes, etc. 6. Travel arrangements including air and train bookings, taxis, hotel bookings, etc. E. Vendor Management 1. Liaising with vendors and agencies for signing effective corporate deals and AMCs 2. Renewal of contracts, verifying and certifying bills, follow-up to ensure prompt payment REQUIRED COMPETENCIES 1. Good Communication 2. Good in Presentation 3. ERP Experience 4. Inter Personal Skill.
