The role requires someone who is steady, detail-oriented, and comfortable managing priorities across teams to keep things running smoothly.Key Responsibilities1. Calendar & Priority ManagementHandle and organise the leader’s calendar with accuracy and care.Schedule internal and external meetings and ensure proper coordination.Identify potential overlaps early and help keep the day structured and manageable.2. Communication & CoordinationDraft and manage clear professional communication, including emails, notes, and updates.Serve as a dependable point of contact between leadership and internal/external stakeholders.Coordinate with global teams and international offices to ensure smooth information flow.3. Travel & LogisticsPlan domestic and international travel arrangements, itineraries, and related logistics.Prepare travel briefs and essential documents to ensure seamless trips.4. Meeting SupportPrepare meeting agendas, presentations, and talking points.Record minutes with clear action items and ensure follow-ups are completed.Assist in organizing review meetings and cross-functional discussions.5. Operational & Administrative SupportMaintain organised documentation, reports, and filing systems.Support expense processes, reimbursements, and basic vendor coordination.Ensure confidentiality, accuracy, and timeliness in all administrative tasks.6. Project & Task TrackingAssist with basic research, data collation, and preparation of routine business updates.Track ongoing tasks, deadlines, and deliverables across teams.Provide steady organizational support to help leadership stay informed.QualificationsProficiency in Executive Administrative Assistance and Executive Support to ensure seamless coordination of CEO’s tasks and prioritiesExperience in managing Expense Reports and Diary Management to maintain financial accuracy and scheduling efficiencyStrong skills in Administrative Assistance to perform a variety of office support tasks with attention to detailAbility to work independently and maintain confidentialityExperience in a similar position within a corporate or global manufacturing environment is a plusMBA is preferred
