You will be responsible for managing schedules, coordinating meetings, handling communications, and assisting with strategic projects. Your role will be crucial in enabling the Director to focus on high-level management and strategic tasks.Key Responsibilities:Administrative Support1. Manage the Director’s calendar, scheduling appointments, meetings, and travel arrangements.2. Screen and prioritize emails, calls, and correspondence, responding on behalf of the Director when appropriate.3. Prepare and edit correspondence, communications, presentations, and other documents.Meeting Coordination1. Organize and coordinate internal and external meetings, including preparing agendas, materials, and follow-up notes.2. Ensure meeting logistics are in place, including room bookings, AV setup, and catering arrangements if necessary.Project Management1. Assist the Director with special projects and strategic initiatives, tracking progress and ensuring deadlines are met.2. Conduct research and compile reports, presentations, and proposals as needed.Communication and Liaison1. Act as a liaison between the Director and other executives, staff, clients, and partners.2. Facilitate effective communication within the organization, ensuring information is accurately conveyed and actions are followed up.Confidentiality and Discretion1. Handle sensitive information with the highest level of confidentiality and discretion.2. Maintain confidentiality of all corporate, personnel, and research matters.Negotiation Skills:1. Leverage strong negotiation skills to secure the best possible terms and prices from vendors and service providers.2. Manage contracts and agreements, ensuring they meet the company's requirements and standards.3. Collaborate with procurement and finance teams to ensure alignment on budget and strategic goals.Event Planning1. Assist in planning and coordinating corporate events, functions, and social gatherings.2. Manage event logistics, including invitations, RSVPs, and vendor coordination.Office Management1. Oversee general office operations, including managing supplies, equipment, and facilities.2. Ensure a professional and efficient office environment, addressing any issues that arise.Qualifications:1. Education: Bachelor’s degree in Business Administration, Communications, or a related field.2. Experience: Minimum of 2-6 years of experience as an Executive Assistant or in a similar role, preferably within the Lifestyle & beauty sectors.Skills:1. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).2. Excellent organizational and time management skills.3. Superior written and verbal communication skills.4. Ability to multitask and prioritize tasks effectively.5. Strong attention to detail and problem6. Proficiency in using office management software and tools.7.
