This is a critical role for a highly organized professional who thrives in a fast-paced environment. You will serve as the MD’s right hand, managing his professional office and personal affairs to maximize his efficiency and effectiveness.Key Responsibilities:1. Strategic Calendar & Time Management:- Master Scheduling: Manage an extremely active and fluid calendar. expert capability in prioritizing inquiries and requests while troubleshooting conflicts with little guidance. - Meeting Logistics: Coordinate all logistics for high-level meetings, including venue booking, catering, and preparation of agendas and briefing materials. - Gatekeeping: Act as the primary gatekeeper for the MD, effectively filtering phone calls, visitors, and meeting requests to protect the MD’s time.2. Comprehensive Travel & Itinerary Planning:- Complex Travel: Orchestrate detailed travel plans (domestic and international), including commercial/private flights, visa processing, hotel accommodations, and ground transportation. - Itineraries: Compile detailed trip itineraries, ensuring the MD is prepared for every engagement while traveling.3. Personal & Lifestyle Management:- Personal Administration: Handle a wide range of personal tasks to alleviate the MD's workload, including medical appointments, personal banking, vehicle maintenance schedules, and bill payments. - Family Logistics: Assist with family travel arrangements, event planning, and household staff coordination as required. - Confidentiality: Manage sensitive personal files, financial documents, and contacts with absolute discretion and integrity.4. Secretarial & Administrative Operations:- Correspondence: Draft, proofread, and edit emails, letters, and memos on behalf of the MD. - Documentation: Organize and maintain a comprehensive digital and physical filing system; ensure critical documents are easily retrievable. - Meeting Minutes: Attend senior-level meetings to take dictation or minutes and follow up on action items. - Expense Management: Reconcile credit card statements and track professional and personal expenses.Required Qualifications & Skills:- Experience: Minimum 2–5 years of experience as a Personal Secretary, Executive Assistant, or similar role supporting C-Suite executives. - Technical Proficiency: Expert knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint) and video conferencing tools. - Communication: Exceptional written and verbal communication skills in English and Hindi.
