Workplace Resources, often referred to as WPR, strategically manages NAF India’s resources, by playing a pivotal role in ensuring the seamless functioning of various processes across the organization to foster sustainable growth and success. The role often involves both operational tasks and supervisory responsibilities, depending on the requirement structure.The team optimizes administrative operations by following best practices in standardizing and streamlining procedures, to increase employee productivity. It also helps in achieving the organization's objectives by identifying opportunities for process enhancement, ensuring cost reduction in managing workflows.Resources should be informative reporting, proactive thinking, Advanced Excel and MS Office skills are essential. This role will provide specifications and standards for business and maintain integrity.Responsibilities Lead and support the team in managing facility-related activities for NAF offices in India (Chennai and Coimbatore). Ensure smooth execution of day-to-day operations and initiatives - security, soft services, technical services, transportation, F&B services, guest processes, parking, and facility upkeep and maintenance. Act as the primary point of contact for workplace operations queries and initiatives. Oversee maintenance, repairs, and office upgrades, ensuring compliance with standards and requirements. Develop strategies and processes to enhance employee experience and engagement in the workplace. Coordinate and facilitate internal engagement events. Identify and implement opportunities to create a cohesive, productive, and enjoyable in-office experience. Support real estate decisions and manage tenant improvement design and construction projects. Promote workplace safety, sustainability, waste reduction, and energy conservation initiatives. Ensure readiness for after-hours facilities-related emergencies. Collaborate with Strategic Sourcing to define vendor scope and manage supplier performance. Partner with other business functions and LoBs on workplace-related initiatives. To manage the budgets, implement cost-saving measures by constantly improving Operational Efficiency. Gather and analyze employee feedback to identify trends and areas for improvement. Define long-term strategy and vision for facility management. Enforce company travel policies, guide employees, and ensure adherence to procedures. Oversee bookings, manage itineraries, ensure smooth travel arrangements, and provide timely updates. Analyze travel data, generate reports for management, and contribute to strategic improvements. Analyze potential impacts of disruptions, updating recovery strategies and plans, participate in BCP tests, document results, and track action items to improve plans. Maintain accurate BCP, Facility related documentation, update procedures, and prepare reports for management.Key Competencies: Experience: 10+ years in facility management roles within a global organization, with proven leadership experience. Strong analytical skills with the ability to derive actionable insights from data and feedback. Excellent problem-solving skills and understanding of strategic partnerships and operations. Ability to work cross-functionally with multiple departments. Exceptional organizational skills and attention to detail. Proficiency in MS Office and other relevant tools. Ability to multitask, prioritize, and coordinate support across functions to achieve goals. Strong written and verbal communication skills, including presentation capabilities.Good to go: Deep understanding of cross-functional collaboration. Ability to manage aggressive timelines and deliver optimal solutions. Willingness to work in rotational shifts and travel as required.
