Job Title: HR and Admin OfficerDepartment: Human Resources and AdministrationReports To: Managing DirectorLocation: KolkataEmployment Type: Full-timeSalary: Upto 30K per monthJob SummaryThe HR and Administration Officer is responsible for overseeing all aspects of human resources management and administrative operations. This includes recruitment, employee relations, performance management, compliance, training and development, and the efficient management of office facilities and administrative support. The role ensures HR and administrative policies align with organizational goals and local labor laws.Key ResponsibilitiesHuman Resources ManagementDevelop, review, and implement HR policies and procedures in line with legal requirements and best practices.Lead the end-to-end recruitment and selection process (job postings, interviews, onboarding).Manage performance appraisal systems and employee development programs.Handle employee relations issues, conflict resolution, and disciplinary actions.Maintain and update employee records, HRIS, and personnel files.Oversee payroll processing, benefits administration, and leave management.Ensure compliance with labor laws, health and safety regulations, and company policies.Support organizational change initiatives and promote a positive workplace culture.Training and DevelopmentIdentify training needs through performance reviews and departmental feedback.Develop annual training plans and coordinate internal/external training sessions.Evaluate training effectiveness and maintain records of staff development activities.Administration and Office ManagementSupervise general office administration, including procurement, maintenance, and vendor management.Manage office facilities, assets, and supplies to ensure a safe and efficient work environment.Coordinate logistics for meetings, events, and company activities.Oversee travel arrangements and company vehicle management (if applicable).Manage administrative budgets and cost control measures.Leadership and ReportingSupervise and mentor HR and administrative staff.Prepare periodic HR and administrative reports for management.Support management in strategic planning related to HR and organizational development.Qualifications and ExperienceBachelor’s degree in Human Resources Management, Business Administration, or related field (Master’s preferred).Professional HR certification (e.g., SHRM, CIPD, CHRP) is an advantage.Minimum of 3-4 years of progressive HR and administrative experience, with at least 2 years in similar role.In-depth knowledge of employment laws, HR best practices, and modern HR systems.Proven experience managing teams and cross-departmental functions.Minimum 2 years of work experience in IT industry.Skills and CompetenciesStrong leadership and interpersonal skills.Excellent communication and negotiation abilities.High level of integrity, confidentiality, and professionalism.Strong organizational and multitasking abilities.Proficiency in HRIS, MS Office, and other HR tools.Problem-solving and decision-making capability.Key Performance Indicators (KPIs)Employee satisfaction and retention rate.Recruitment cycle time and quality of hires.Policy compliance and audit outcomes.Training completion and performance improvement metrics.Administrative cost control and operational efficiency.
