Job Description

The Recruitment Administration is a subject matter expert and provides efficient and flexible recruitment administrative support including but not limited to workload allocation, process change management, reports generation and quality checks. This role facilitates operational service delivery of the team members to contribute to the overall achievement of targets. They act as the main point of contact for all queries relating to the support function of one or more accounts and deputize for the Team Leader or Manager as required.Year of experience: 7 years to 12 YearsPerformance Outcomes / AccountabilitiesMaintain data accuracy for self and team (Lead Recruitment Admin Specialist, Senior Recruitment Coordinator, Recruitment Coordinator).Keep operations manual and documentation up-to-date and coherent.Design and implement Quality Audits, conduct checks, and summarize results.Ensure process compliance and reporting compliance.Conduct process audits and drive process improvements.Support onboarding and offboarding of resources (training, access setup, etc.).Manage mailbox queries within agreed timelines.Ensure team adherence to contractual obligations.Deliver continuous improvement projects with proven efficiency gains.Achieve positive feedback from stakeholders/account teams on service delivery.Deliver tasks within agreed SLAs/KPIs and maintain client satisfaction ratings.Ensure compliance with policies, procedures, and completion of mandatory trainings.Maintain customer satisfaction and service level adherence.Foster partnerships with clients and stakeholders through effective collaboration.Promote efficient usage of digital automation and technology.Key ResponsibilitiesManage account-specific administration activities accurately and on time, including ad hoc requests supporting recruitment processes.Own process documentation, including operations manual; communication process changes clearly to stakeholders and team.Manage group mailbox, handle escalations, and provide support as needed.Act as final checking mechanism for process elements, audits, and spot checks to ensure data accuracy and SLA adherence.Complete reports, trackers, and maintain systems accurately and within deadlines.Build and maintain strong relationships with recruiters, hiring managers, vendors, and stakeholders; manage expectations and service levels.Actively participate in operational calls and interact confidently with clients.Contribute to ad hoc projects and continuous improvement initiatives.Prepare forecasts as required.Deputize for Team Leader when needed.Drive efficient usage of digital automation and technology.
