Our structure is flat, the pace is rapid, and priorities can shift overnight. The EA should be comfortable working in a creative, sometimes unstructured setup—someone who brings order, calm, and strategic coordination without slowing the momentum.You will manage calendars, communication, client coordination, logistics, research, and operational follow-ups across multiple events and internal projects.Key ResponsibilitiesExecutive & Operational Support- Proactively manage daily calendars and shifting priorities for leadership - Coordinate internal reviews, brainstorming sessions, production meetings, and vendor discussions - Manage complex travel, venue visits, recce planning, accommodation, and logistics - Prepare decks, event briefs, client notes, and internal documentsCommunication & Stakeholder Support- Act as the communication bridge between the Founder, clients, teams, designers, and vendors - Draft clear and concise communication—emails, announcements, follow-ups, proposals - Handle calls, correspondence, and proactive reminders on pending tasks - Maintain relationships with venues, technicians, production houses, artists, and third partiesEvent Coordination Assistance- Support pre-event planning, bookings, vendor alignment, and documentation - Track deadlines, approvals, budgets, and production deliverables - Assist in event research—venues, technologies, artists, suppliers, concepts - Support the team during high-intensity event execution timelinesAdministration & Documentation- Maintain records, contracts, agreements, client documents, proposals, and payment files - Support invoicing, budgeting, reimbursements, and expense tracking - Assist in HR coordination for hiring, interviews, internships, and onboardingProject & Task Management- Maintain trackers, MIS sheets, and follow-ups linked to ongoing projects - Push action items across teams to closure—without hierarchy barriers - Provide research summaries and decision-support notesConfidentiality & Professionalism- Handle sensitive information discreetly - Bring maturity, emotional intelligence, and calm thinkingRequirements- Bachelor’s degree in Business, Communication, Management, or related field - 2–5 years of EA / Operations / Events coordination experience - Comfort working in a non-bureaucratic, creative, rapidly changing environment - Excellent written and verbal communication - Strong in Google Workspace / MS Office and productivity tools - Ability to manage pressure, long days, and shifting operational intensity - Multitasking skills with a problem-solving mindsetPreferred- Experience in an events / experiential / production agency - Experience supporting Founders/Leadership directly - Familiarity with operational tools (Slack, Notion, Trello, Asana, Zoom) - Vendor and venue coordination experienceWho You Are- Strong follow-through and ownership mindset - Comfortable without rigid structure—able to self-organize - Fast execution + clear communication - Naturally curious; energetic and solutions-led - Someone who “gets it done”
