The opening is for the role ofAssistant Front Office ManageratUmed Bhawan Palace Kotah– a heritage hotel inKota, Rajasthan, India .Qualifications & Prerequisites : -Education: Bachelor’s / Master’s degree in Hotel Management or a related field. -Experience: (1) Minimum of 8 years experience in Front Office operations, including at least 2 years in a supervisory or assistant managerial role; (2) Experience working with leisure (tourist & domestic), corporate, and wedding guests; (3) Experience in heritage, boutique, or luxury hotels preferred -Technical & Professional Skills: (1) Knowledge of PMS (Opera / IDS / WINHMS /similar) and Channel Management software (STAAH, Hotel Spider, etc); (2) Strong understanding of reservations, billing, night audit, and cash handling -Language: Fluency in English & Hindi (Written & Oral)Key Tasks & Responsibilities : - Front Office Operations Management: Oversee day-to-day Front Office operations to ensure seamless check-ins, check-outs, and guest service delivery across all shifts - Guest Experience & Service: Act as the primary escalation point for guest issues, ensuring prompt resolution, personalized service, and effective service recovery - Team Supervision and Discipline: Supervise Front Office Executives, Supervisors, Associates, and trainees – ensuring seamless operations through service consistency, following of SOPs, discipline, & grooming standards - Room Allocation & Inventory Control: Monitor room status, upgrades, special requests, and coordination with Housekeeping to optimize room readiness and allocation. - Reservations & Revenue support: Oversee room availability and rate integrity, coordinate group and wedding bookings, and drive upselling and room upgrade opportunities - Reporting & Administration: Oversee and ensure regular preparation and circulation of daily / monthly front office reports to Directors and senior management - VIPs & Protocol Handling: Personally manage VIPs, repeat guests, wedding clients, and protocol guests, ensuring adherence to heritage and luxury service standards - Shift Leadership & Rostering: Prepare duty rosters ensuring 24x7 Front Office coverage and act as the senior Front Office authority during assigned shifts - Billing Accuracy & Audit Compliance: Ensure accurate posting, cash handling, billing, credit procedures, night audits, and adherence to audit and financial control procedures in coordination with the FC & Accounts Department - Training and Skill Development: Conduct on-the-job training in PMS / Channel Manager usage, guest communication, complaint handling, and guest hospitality standards. - Inter-Departmental Coordination: Liaise closely with Senior Management, and Housekeeping, F&B, Security, Engineering, IT and Sales departments to ensure smooth hotel operations - Guest Feedback & Reputation Management: Monitor guest feedback online reviews, and internal comments, ensuring timely action and corrective measures - Statutory Compliance & Documentation: Ensure compliance with guest registration norms, FRRO / C-Form fillings, and police verification requirements - Security & Emergency Response: Handle emergencies, medical incidents, or security situations calmly and coordinate with Security and local authorities when requiredAbout the Property: Umed Bhawan Palace Kotah is a royal palace originally built in 1902 by HH Maharao Umed Singh Ji II of Kotah, and first converted into a heritage hotel in 1995/96. The property was initially operated by ITC Hotels (under the WelcomHeritage brand) up to March 2023. It has since undergone renovations, and is now being operated with a new management team under the direct supervision of the Royal Family of Kotah from late-2023 onwards.Umed Bhawan Palace Kotah currently has 32 keys, a multi-cuisine restaurant “The Dahlia”, a bar “The Swinton Bar”, two indoor banquet halls, and one large outdoor banquet venue.
