Job Description

Role Overview We're hiring a HubSpot CRM Manager to own and scale our HubSpot system end-to-end including CRM structure, pipeline management, workflows, integrations, reporting, and high-performing email sequences + lifecycle automation. This role is for someone who knows how to turn HubSpot into a real growth engine, not just a database. Key Responsibilities 1) HubSpot CRM Ownership - Own the full HubSpot CRM environment (Sales + Marketing + Service, as needed) - Design and optimize pipelines, deal stages, lifecycle stages, lead statuses, and custom properties - Maintain clean data structure, naming conventions, and CRM governance 2) Email Sequences, Flows & Lifecycle Automation (CORE RESPONSIBILITY) - Build and manage outbound and inbound email systems inside HubSpot including: - Sales sequences (lead follow-ups, no-show flows, reactivation sequences) - Lead nurture flows (education value conversion) - Post-demo / post-call follow-ups - Pipeline stage-based emails (e.g., proposal sent reminders close nudges) - Customer onboarding flows (if applicable) - Set up segmentation and logic using lists, properties, lifecycle stages, and behavior triggers - Improve performance through testing (subject lines, timing, copy, personalization, engagement rates) - Ensure compliance + deliverability best practices (sender domains, bounce handling, unsubscribe logic) 3) Workflows & Automation - Create and improve HubSpot workflows for: - Lead routing and assignment rules - Task creation and follow-ups - SLA-driven notifications and internal alerts - Deal automation by stage movement - Reduce manual work by building reliable automation rules 4) CRM Integrations & Data Flow - Implement and maintain integrations with tools such as: - Website / forms / landing pages - Email + calendars - WhatsApp integrations - Stripe / payments - Zapier / Make / n8n - Manage field mapping, sync rules, deduplication, and troubleshooting 5) Reporting & Performance Dashboards - Build dashboards for: - Lead source + channel quality - Funnel conversion rates - Pipeline velocity and stage drop-offs - Email sequence performance (opens, clicks, replies, conversions) - Deliver clear weekly reporting that leadership can actually act on 6) Team Enablement - Train sales + operations teams to use HubSpot correctly - Document workflows, process rules, and playbooks - Act as the internal HubSpot owner who prevents system chaos Must-Have Requirements (Non-Negotiable) - 2-3+ years of hands-on HubSpot experience - Strong experience building CRM structure (properties, pipelines, lifecycle stages) - Proven experience building HubSpot email sequences + marketing automation flows - Strong workflow automation skills - Comfortable managing integrations + troubleshooting issues - Detail-oriented, structured, process-driven - Strong communication skills working with founders and sales teams Nice-to-Haves - HubSpot certifications (Admin / Sales / Marketing / Reporting) - Experience with B2B SaaS, lead gen funnels, or high-volume inbound - Experience with segmentation, lead scoring, and lifecycle logic - Zapier / Make / n8n experience - Strong copy sense for email performance optimization
