Job Title: Associate Director - Human Resources Location: Gurgaon Position Overview We are seeking a detail-driven and strategic Lead – HR Operations to head our core HR operations and drive process excellence across the employee lifecycle. This individual will manage critical HR systems and processes, ensuring accuracy, compliance, and efficiency while leading a small team. The ideal candidate will bring strong stakeholder management skills, HR tech acumen, and a passion for process optimization. This role will also focus on transitioning to a new HRMS, improving documentation standards, and reinforcing accountability and ownership within the team. Key Responsibilities HR Operations & Process Optimization - Manage the full employee lifecycle: onboarding, confirmation, internal transfers, and exit formalities. - Build and document structured, scalable processes (minimum five key processes with 8–10 sub-processes each) to reduce turnaround time across HR operations. - Transition all HR activities to be process-dependent rather than person-dependent; proactively document all critical knowledge. - Streamline office time and attendance processes, driving return-to-office adherence (starting 15th July) and ensuring accessibility of data. Payroll & Incentive Administration - Oversee end-to-end payroll, incentive processing, tax compliance, and statutory obligations (PF, ESI, Gratuity, etc.). - Drive transparent and performance-aligned incentive programs, including management and leadership incentive schemes. HRMS Implementation & Technology Integration - Lead the HRMS transition plan: vendor liaison, system design, UAT, go-live, and post-launch support. - Drive accountability across the team for effective system transition and usage. - Oversee HRIS integration with other business tools, ensuring high data accuracy and reporting capability. Team Leadership & Accountability - Mentor and manage a team of 2–3 members, promoting ownership, go-getter attitude, punctuality, and accountability for end-to-end tasks. - Monitor and manage team attendance, workload distribution, and performance reviews. - Review operational accuracy and quality monthly—ensuring zero errors in deliverables from self and team. Compliance, Audits & Governance - Prepare proactively for statutory and internal audits; maintain complete and accessible historical data and physical records. - Lead and deliver mandatory compliance training programs (POSH, Human Rights, Anti-Bribery). - Ensure timely sharing of audit documents without follow-ups and implement recommendations. Stakeholder Management - Ensure zero escalations from internal stakeholders through proactive service delivery and communication. - Collaborate cross-functionally with Talent Acquisition, HRBPs, and other HR functions to enhance service levels and business alignment. Engagement, Culture & Milestones - Design and execute engagement strategies including surveys, recognition programs, and employee events. - Lead milestone celebration programs (5, 10, 15-year tenures) to recognize long-serving employees. - Support internal communication efforts to foster a high-performance, value-driven culture. Performance & Assessment Management - Manage the full Performance Management System (PMS) cycle—from goal setting and mid-year reviews to annual assessments, calibrations, and letter issuance. Analytics & Reporting - Build and maintain HR dashboards and analytics reports to track key metrics and trends. - Prepare and present the annual HR report covering achievements, challenges, and strategic recommendations. - Budget & Cost Management - Develop and oversee the HR budget; conduct cost analysis of HR initiatives to identify and implement cost-saving measures. - Vendor Management - Manage HR vendors and service providers, ensuring service level adherence, contract compliance, and value realization. Qualifications & Requirements - Bachelor’s or Master’s degree in Human Resources, Business Administration, or a related field. - 10–12 years of experience in HR operations, with team leadership and payroll exposure. - Proven expertise in HRMS/HRIS platforms and Microsoft Office tools. - Strong understanding of payroll, statutory compliance, and labor law frameworks. - Demonstrated ability to lead high-performing teams, manage complex projects, and drive continuous improvement. - Excellent communication, analytical, and stakeholder management skills. - Experience with HR analytics, PMS tools, and compliance training programs is a plus.
