Position Title: International Patient Care Coordinator (IPCC)Company: Progenesis IVFLocation: Head Office – ThaneDepartment: International Patient Services / OperationsEmployment Type: Full-TimeRole OverviewProgenesis IVF is seeking a compassionate, well-organized, and patient-focused International Patient Care Coordinator to manage and support international patients throughout their fertility treatment journey. The role involves coordinating medical, administrative, and logistical aspects while ensuring a seamless and empathetic experience for patients traveling from overseas.The ideal candidate will act as the primary point of contact for international patients, working closely with doctors, clinical teams, finance, and external partners.Key ResponsibilitiesPatient Coordination & SupportServe as the single point of contact for international patients from inquiry to post-treatment follow-up.Provide clear guidance on treatment plans, timelines, procedures, and documentation.Assist patients with appointment scheduling, treatment coordination, and medical records.Ensure patients receive personalized care and prompt responses to queries via email, phone, and messaging platforms.International Patient ManagementCoordinate with embassies, travel partners, and facilitators if required.Support patients with visa-related medical letters and documentation.Assist in planning treatment schedules aligned with travel itineraries.Coordinate accommodation, airport transfers, and local logistics in collaboration with vendors.Clinical & Internal CoordinationLiaise with doctors, nurses, embryologists, and counselors to ensure smooth treatment flow.Coordinate investigations, treatment cycles, and follow-ups as per clinical protocols.Maintain accurate patient records and ensure confidentiality at all times.Financial & Administrative CoordinationExplain treatment packages, cost estimates, and payment processes to international patients.Coordinate with the finance team for billing, advance payments, and receipts.Ensure timely collection of payments as per company policy.Communication & Relationship ManagementBuild trust-based relationships with international patients and their families.Address patient concerns with empathy and professionalism.Collect patient feedback and support service quality improvements.Compliance & DocumentationEnsure compliance with hospital policies, international patient guidelines, and medical ethics.Maintain updated records of passports, visas, consent forms, and medical documents.Desired Candidate ProfileEducationGraduate / Postgraduate in Healthcare Management, Hospital Administration, Life Sciences, or related field.Experience2–5 years of experience in international patient coordination, medical tourism, or healthcare operations.Experience in IVF / fertility / hospital setup is preferred.Skills & CompetenciesExcellent verbal and written communication skills in English (additional languages are an advantage).Strong interpersonal and patient-handling skills.High level of empathy, discretion, and cultural sensitivity.Strong organizational and multitasking abilities.Proficiency in MS Office, CRM, and hospital management systems.Working ConditionsBased at Progenesis IVF Head Office, Thane.May require flexibility in working hours to accommodate international time zones.Why Join Progenesis IVF?Be part of a growing and reputed IVF network.Opportunity to work with international patients and global exposure.Patient-centric work culture with focus on empathy and excellence.
